Position Overview
We’re seeking a highly organized and proactive Part-Time Executive Event Specialist to support the Owner of Liven It Up Events. The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced, creative environment. You’ll help manage schedules, streamline operations, support client communications, and assist with event production logistics. This is a dynamic opportunity to work closely with a visionary leader and gain insight into the world of event planning at the executive level.
Key Responsibilities
Executive Support
• Assist with creating pitch decks, reports, and proposals
• Handle confidential information with discretion
• Handle some client communication via email.
Administrative Operations
• Organize digital files, documents, and contact lists
• Track follow-ups and project deadlines
• Assist with bookkeeping, invoicing, and vendor communication as needed
• Support research for venues, vendors, and partnerships
Event Support
• Help coordinate logistics for upcoming events (guest lists, run-of-show, travel, etc.)
• Liaise with clients and vendors under the owner’s direction
• Attend select events (as needed) to assist on-site
• Track event timelines and deliverables
• Assist in writing timelines
• Assist with creating proposals and event production decks for clients
Marketing/Communications
• Assist with content scheduling, social media coordination, or blog/email drafting
• Organize and update press/media kits or client case studies
Qualifications
• 2+ years in an executive assistant, project coordinator, or similar role
• Strong organizational, multitasking, and communication skills
• Proficient in Google Workspace, Zoom, task/project management tools (e.g., Trello, Asana)
• Previous experience in the event industry is required
• Trustworthy, adaptable, and able to work independently
• Must be available to work nights and weekends when events are being produced
• Some travel may be required
