Job summary

The Massachusetts League of Community Health Centers seeks an Executive Assistant/Development Assistant to provide high-level administrative and project support to the SVP of Development & External Affairs.

This role blends executive support with hands-on assistance across fundraising, donor relations, communications, and member services to advance the Mass League's mission and support community health centers across the Commonwealth.

  • Provide administrative support to the SVP including calendar management, scheduling and correspondence.
  • Prepare briefing materials, meeting agendas and follow-up notes for internal and external meetings.
  • Maintain donor and prospect records in the CRM/database and support gift processing and acknowledgment communications.
  • Assist with sponsorship materials, donor stewardship communications and reports.
  • Coordinate fundraising events and donor cultivation events including the Annual Awards Gala and Community Health Institute.
  • Support media and community relations materials for external presentations and partner meetings.
  • Provide additional admin and project-based support for the SVP and External Affairs team as needed.
  • Enter contract requests into the contract management system and prepare vouchers for external sponsorships and vendor invoices.
  • Collaborate with other Executive Assistants and Mass League departments.

Job description

The Massachusetts League of Community Health Centers (League) was founded in 1972 as one of the country's first state Primary Care Associations (PCAs). Established under the same federal authorizing legislation as the health center program (Section 330 of the Public Health Service Act), PCAs are organized around a set of core functions and competencies that provide a framework for support and assistance to health centers and the communities they serve. The League is a non‑profit 501(c)(3) organization registered as a public charity with the Secretary of the Commonwealth. It maintains a professional staff at its headquarters in Boston and its training center in Worcester.

Position Summary

The Executive Assistant/Development Assistant provides high‑level administrative and project support to the SVP of Development & External Affairs. This role blends executive support with hands‑on assistance across fundraising, donor relations, communications, and member services activities that advance the Mass League's mission and support community health centers across the Commonwealth.

Essential Functions

This role requires a candidate who has the ability to:

  • Provide administrative support to the SVP including calendar management, scheduling, and correspondence
  • Prepare briefing materials, meeting agendas, and follow‑up notes for internal and external meetings
  • Maintain accurate donor and prospect records in the CRM/database and support gift processing and acknowledgement communications
  • Assist with the preparation of sponsorship materials, donor stewardship communications, communications materials, membership communications, and reports
  • Help coordinate fundraising events, donor cultivation events, and other Mass League events including the Annual Awards Gala and Community Health Institute
  • Support coordination of media and community relations activities including preparation of materials for external presentations and partner meetings
  • Provide additional administrative support and project‑based support for the SVP and the External Affairs team as needed
  • Enters contract requests into the League's contract management system and prepares and submits vouchers to the finance department for external sponsorships and vendor invoices
  • Coordinates and collaborates with other Executive Assistants and Mass League departments
  • Manages confidential files, documents, and communications

  • Up‑to‑date knowledge of business and information technology
Education/Experience
  • Bachelor's degree preferred; high school degree required
  • Three to five years of experience providing administrative support to executive‑level staff
  • One to two years of experience working on a development/fundraising team preferred
  • Experience in a non‑profit, health care or public policy setting preferred
