Job summary

The American Red Cross in Louisville, KY is seeking an experienced administrative professional to support a department with complex tasks and confidential information. You will prepare reports, coordinate projects, develop presentations, supervise clerical staff, and support volunteers while contributing to our mission of helping people.

This role emphasizes strong communication, organization, and the ability to work with cross-functional teams in a mission-driven environment.

Qualifications

  • High School diploma or equivalent required.
  • Minimum 5 years related experience or equivalent combination.
  • Proficient in formatting complex documents; strong written and verbal communication.

Responsibilities

  • Perform complex administrative duties with little supervision and maintain confidentiality.
  • Prepare memos, records, reports, data or correspondence for management or staff review.
  • Develop high-level presentations and spreadsheet reports and run specialized queries from department database.
  • Administer projects involving operational issues and compile results for management review.
  • May provide functional supervision to clerical/administrative staff assigned to the unit.
  • Provide support, development and leadership guidance to volunteers.

WHAT YOU NEED TO KNOW (Job Overview):

This position is located in the Louisville KY office Monday - Friday

Provides complex administrative support to a department, group or program. Prepare reports and various correspondences. Administers projects, programs, and/or processes applicable to the unit. Analyzes unit operating practices and recommends revisions to improve established procedures. May serve as an administrative liaison with others within and outside the company regarding administrative issues.

  • Perform a variety of complex administrative duties, with little supervision and exercising confidentiality. Prepare and maintain memos, records, reports, data or correspondence for management or staff review. Reviews correspondence for consistency with corporate policies and practices. May develop high-level presentations and/or spreadsheet reports and run specialized queries from department database.
  • Initiate, prepare, and edit written materials, correspondence, and reports using various software and/or database management applications.
  • Compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations supporting functional area or business unit/project by utilizing specific database or software applications.
  • May administer a particular project involving operational issues and compile results and findings for management review. May participate as a department representative on a cross-functional project team or serve as a project manager for an intra-department project.
  • May provide functional supervision to clerical/administrative staff assigned to unit.
  • Provide support, development and/or leadership guidance to all volunteers.
Scope: Extensive knowledge of the job. Comprehensive acquaintance with both general and specific aspects of the job and their practical application to complex problems normally encountered. Contacts are frequent with individuals representing other organizations or individuals of significant importance within organization.
WHAT YOU NEED TO SUCCEED (Minimum Qualifications):
  • Education: High School or equivalent required.
  • Experience: Minimum 5 years related experience or equivalent combination of education and related experience required.
Management Experience: N/A
Skills & Abilities: Excellent verbal and written communication skills. Proficient in personal computer use and Microsoft Office Suite. Proficient typing skills required. Knowledge of organizational policies and procedures that relate to operations within assigned organizational unit is preferred. Ability to prepare and edit complex documents is preferred. Ability to work on a team.
Travel: None or very little.

Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel; and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The work environment will consist of moderate noise (i.e. business office with computers, phones and printers, light traffic). The employee must have the ability to work in a small cubicle and have the ability to sit at a computer terminal for an extended period of time.
