JOB SUMMARY
Frasier is seeking a highly organized, proactive and discreet professional to serve as Executive Assistant to the President and CEO. This trusted role will serve as the primary point of contact for internal and external constituents on all matters relating to the Office of the President. You will provide high-level executive support, manage priorities, and ensure accurate delivery on a variety of work responsibilities.
The Executive Assistant will coordinate schedules, board communications, special projects, and strategic initiatives, ensuring the Office of the President runs smoothly and efficiently. This individual must be proactive, detail-oriented, and capable of handling sensitive matters with professionalism and sound judgment.

KEY AREAS OF RESPONSIBILITIES
Executive Support & Coordination – 50% of Time
- Coordinate and manage the busy schedules of the CEO and executive leadership team, including arranging meetings, appointments, and travel itineraries.
- Screen and prioritize access to the CEO to manage demands on their time, proactively manage conflicting demands and using sound judgment to escalate or deflect as appropriate.
- Handle emails, phone calls, and other forms of communication on behalf of the CEO and executive team, ensuring messages are prioritized and responded to in a timely manner.
- Plan and coordinate executive meetings and Board meetings, including preparing agendas, taking minutes, reserving rooms, catering, communicating hybrid links, and distributing relevant materials.
- Follow up on action items and ensure deadlines are met.
- Serve as liaison for the board by preparing Board packets, compiling materials, maintaining minutes archive, and supporting Board committee logistics.
- Maintain Board member profiles, including terms, contact info, and bios.
- Arrange domestic and international travel for the CEO and executive team, including flight bookings, accommodations, and transportation arrangements. Prepare travel itineraries and ensure all necessary arrangements are in place.
Project Management – 30% of Time
- Assist in managing special projects, initiatives, or events as assigned by the CEO or executive leadership team.
- Coordinate teams, tracking project progress, and preparing reports.
- Organize and maintain confidential files, documents, and records, ensuring easy access and retrieval when needed.
- Assist in planning internal events like leadership retreats, holiday parties, staff celebrations.
- Provide office support and coordination, purchasing supplies, facilitating repairs, and maintaining the office appearance.
- Supports vendor relationships for office services (copiers, catering, housekeeping, etc.).
- Provide onboarding support for new employees (equipment set-up, workspace readiness), space planning and meeting room oversight.
- Assisting with invoice processing, expense reporting, and budget tracking for the CEO's office and special projects.
Records & Systems Management – 20% of Time
- Maintain electronic databases, policies, and document management systems.
- Assist with various tasks, such as managing software applications, troubleshooting technical issues, and assisting with presentations and multimedia materials.
- Ensuring document storage and retention aligns with internal and regulatory policies.
Confidentiality & Operational Excellence – Always
- Maintain a high level of confidentiality and exercise discretion when dealing with sensitive information, such as executive discussions, strategic plans, board communications, and personnel matters.
- Leverage your technological expertise and exceptional organizational skills, to ensure the smooth operation and effectiveness of the CEO's office and the executive leadership team.

QUALIFICATIONS
- Minimum of 3 years’ experience as an Executive Assistant to C-Level and/or VP level
- At least 1 year of experience working with Board Members
- Expert level written and verbal communication skills
- Strong understanding of online calendars and cloud systems
- Experience using office equipment, including printers and fax machines
- Exceptional discretion and confidentiality with sensitive company information
- Exceptional organizational skills with an ability to think proactively and prioritize work
- High school diploma required; associate or bachelor’s degree preferred

Compensation and Benefits
- Pay Range: $70,000-$80,000 per year
