Purpose of the Job:
The executive assistant to the lead pastor will handle a wide range of administrative related tasks for the lead pastor. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a high level, executive-minded leader. Must be technologically savvy, with high capability to effectively communicate through multiple electronic platforms, as well as over the phone. The executive assistant must have the ability to interact with all levels of internal staff, congregants, visitors, and external church relationships in a fast-paced environment and remain flexible, proactive, resourceful, and efficient with a high level of professionalism and spiritual maturity. The executive assistant will also communicate regularly with the lead pastor’s wife and is responsible for the tasks below.
Experience & Knowledge Required:
Essential Functions & Responsibilities:
Lead Pastor & LP’s wife:
• Serve as first point of contact for Lead Pastor and wife, answering phones and meeting public as needed
• Maintain Lead Pastor and wife’s calendar, schedule meetings, conferences, retreats, travel arrangements, speaking engagements, etc.
• Manage expense reporting for the lead pastor and wife, as well as expense reporting for executive assistant spending.
• Keeping lead pastor and wife’s office neat, clean and stocked.
Lead Pastor:
• Prepare correspondence and reports for Lead Pastor.
• Maintain Lead Pastor’s files; keep office organized.
• Provide support to Overseers, Trustees and Elders.
• Be aware of the overall church, ministry goals and programs, and the Lead Pastor’s detailed responsibilities related to these.
• Attend and take minutes for Direct Report meetings
• Plan and prepare materials for staff retreats and other meetings
• Manage all meetings and be the point person to organize all weddings and funerals while coordinating details with all parties involved.
• Assisting with event planning:
• From worship services to special church events, it is the EA’s job to help organize and coordinate event logistics. This can include venue arrangements, scheduling volunteers, and managing third-party church events where lead pastor is leading the event.
• Weekend duties at Greenfield location and be present to help with lead pastor and ministry needs as they arise.
