ROLE AT A GLANCE

Location: Mableton, Georgia (hybrid)

Reports To: Executive Director

Team Size: 1 — you support the Executive Director directly

Mission: Public Education / Charter School Launch

Primary Tools: Google Suite: Calendar, email, document; sheets; Zoom for video-conferencing; Slack for Team Communication; Asana for task management; AI tools for drafting, summarizing, and building systems

Travel Required: Regional travel across South Cobb. Overnight domestic travel for the BES Fellowship and sector conferences. International travel with the Founder for Power Global Schools' school-building work in Africa. A valid passport, or the ability to obtain one promptly, is required.

WHY THIS ROLE EXISTS

Power Public Schools is launching in August 2027 with a bold, ambitious vision. The Executive Director is building a school from the ground up while managing relationships with the board, community partners, external advisors, and a rapidly growing team. Right now, too much of her time goes to scheduling, inboxes, administrative detail, and follow-through that someone else should own. This role exists to take that weight off — so the Executive Director can stay on the few things only she can do: instructional leadership, culture-building, and strategy.

This is a role for someone who can bring greater structure, leverage, and operational discipline to a fast-moving founder’s office. You’ll strengthen the systems, rhythms, and decision-support that help the Founder stay focused on the highest-value work, while ensuring priorities move forward with consistency and follow-through. It’s ideal for someone who is proactive, highly discerning, and able to operate as a trusted extension of a leader — anticipating needs, improving how work gets done, and creating order without adding bureaucracy.

Power Public Schools is a public charter school opening in August 2027 to serve students and families in South Cobb, Georgia. We will launch with grades 6-7 and grow intentionally over time to serve students through grade 12. This is a high-ownership, high-trust role working directly alongside the Executive Director to protect her time, reduce friction, and keep the school launch moving forward with clarity and care.

what You'll Own
Protect the Founder's Time
  • Own the founder's calendar end-to-end — schedule, sequence, and defend focus time.
  • Resolve conflicts before they reach the founder, and hold the line on priorities.
  • Build protected focus blocks into the week and keep them protected.
  • Anticipate what's coming and prepare the founder for it — meetings, decisions, deadlines.
Run Communication & Liaison
  • Handle correspondence on the founder's behalf with executives, partners, vendors, and clients.
  • Filter, prioritize, and route inbound communication so the founder sees what matters, when it matters.
  • Draft clear, professional messages, correspondence, and documentation.
  • Represent the founder and Power Public Schools with poise, discretion, and sound judgment.
Support Community Events and Enrollment Logistics
  • Support team at community and enrollment events across Mableton, Austell, and South Cobb: venues, permits, sign-in, materials, volunteers, food, follow-up.
  • Track letters of support and interest forms, and drive the follow-up that turns a conversation into a committed family.
  • Answer family inquiries with the warmth of someone who is glad they called.
Support the Board
  • Own board meeting logistics: scheduling, notice, location, materials, technology, refreshments, and setup.
  • Build and distribute board packets ahead of every meeting.
  • Prepare minutes for review and maintain the board meeting tracker of motions, votes, action items, and owners.
  • Keep governance documents organized, current, and retrievable in seconds. Recommend HR/legal review before implementation.
Own Travel & Logistics
  • Plan and execute complex, multi-day, and last-minute travel — error-free.
  • Manage expense reports and budgeting support with accurate, timely records.
  • Coordinate meetings and appointments across internal and external stakeholders and time zones.
  • Work fully remote with flexibility and independence, as well as to travel as business needs require.
Maintain Financial Organization Systems
  • Track expenses, receipts, invoices, and reimbursements in partnership with the external CFO.
  • Prepare documentation for grant reporting and financial review.
  • Never let a receipt go missing.
Maintain Record Systems
  • Own document control across Google Drive: naming conventions, folder architecture, version control, permissions.
  • Stand up task tracking and follow-up systems so nothing slips, including things assigned to other people.
  • Document the Founder's preferences so the operation runs consistently.
  • Use AI tools to draft, summarize, and build faster, and teach the rest of the team what works.
Build the Systems

What Success Looks Like — First 90 Days
Days 1-30:

You know the Founder's working style, communication preferences, and priorities. You have audited the calendar, the inbox, and the Drive. You have stood up a single source of truth for deadlines and follow-ups. The scheduling machinery for the Principal and Director of Operations searches is running — candidate blocks held, panelists confirmed, nothing sitting more than seven days in a stage. You have met the board chair, the external CFO, and the key community partners by name.

Days 31-60:

You are proactive, not reactive. The Founder's calendar has protected focus blocks and they hold. Board packets go out three business days early. The SCSC deadline calendar is built and owned by you. You are drafting routine correspondence independently and it goes out with light edits. Expense tracking with the external CFO is current and clean. You have handled at least one full travel itinerary end to end.

Days 61-90:

You are a trusted extension of the Founder. You anticipate weeks out. The Founding Principal and Director of Operations arrive into a calendar, a file structure, and a meeting cadence you built for them. You run community and enrollment event logistics end to end. The Founder is spending her hours on the things only she can do, and she can name the difference.
