Job Title: Executive Assistant to the Divisional Secretary for Business
FLSA Status: Full Time - exempt
Reports to: Divisional Secretary for Business
Schedule: Standard Office
Supervises: N/A
Rate of Pay: $62,000 annually
Closing Date: 7/20/2025
Benefits: Standard; Full-Time, Exempt employees are eligible for but not limited to the following:

Function
The Executive Assistant to the Divisional Secretary for Business (EADSB)’s main responsibilities will include the provision of assistance for the various administrative functions, including Risk Management processing for the office of the Divisional Secretary for Business (DSB). The EADSB holds a position of trust and confidence that requires professionalism and adherence to The Salvation Army's policies. Execution of this role will be done within the Orders and Regulations of The Salvation Army, consistent with the mission principles and standards, while keeping with best business practices, sound social services ethics, values, and compassion for people, serving without discrimination.
Duties And Responsibilities
Under the direction of the DSB, the EADSB will:
- Manage the Risk Management processes for the IM Division, including processing, communication, follow up and collaboration with THQ, Payroll, and HR.
- Provide administrative support:
- Prepare correspondence as assigned
- Coordinate retreats, meetings and other events
- Deliver invitations/notices, track RSVPs, prepare agendas and handouts, and produce minutes as directed
- Screen calls that are incoming for the DSB
- Maintain the calendar for the DSB
- Schedule and coordinate Sunday meetings for the DSB as a signed new line maintain filing for correspondence and “Bring Up” files
- Prepare agenda and track items for the Divisional Program Council
- Research and prepare memos, report analysis, and projections for presentation to the Command Finance Council as assigned
- Track the receipt of communication from Field Units and distribution of items via a read file to Divisional Leadership
- Provide professional level customer service to Field Units, other DHQ departments, and community at all times
- Provide support for Business systems as assigned
- Provide oversight for administrative projects as assigned
- Serve as the lead, providing user training and support for the Divisional Zoom system
- Provide administrative support to Denver Metro Social Services (DMSS) as directed
- Provide administrative support to the Women's Ministries department as directed
- Provide administrative backup for the Divisional Commander’s Office as directed
- Provide break, lunch, and vacation relief to the Receptionist as needed
- Other duties as directed or assigned
Education, Experience, Skills, Qualifications- Education
- High School Diploma or equivalent is required
- An associate’s degree or Certificate in Business Management is preferred
- Experience
- Four years’ (minimum) experience in a business setting is required
- Work experience in a non-profit or religious environment is preferred
- Experience coordinating multiple and often competing projects and/or deadlines
- Skills
- Able to work well in a team setting
- Possessing demonstrable critical thinking skills in a diverse work environment
- Proficient customer relations and conflict management abilities
- Ability to maintain a high level of confidentiality regarding business and personnel matters
- Proficiency with Microsoft Office Suite including Word, Excel, Power Point and Outlook
- Strong organizational skills; both verbal and written
- Detail oriented/self-starting
- Ability to maintain professional poise under pressure
- The ability to learn new tasks and processes with minimal intervention
- A working knowledge of integrated database applications and the ability to use new software programs with basic training
- Qualifications
- Possessing a heart and passion for The Salvation Army's mission.
- Possessing the natural ability to reflect and model the high standards of The Salvation Army as one of the world's most distinguished human services charitable organizations
- Knowledge and skill in trauma informed care, harm reduction practices, motivational interviewing, and housing first methodologies
- Knowledge of local and divisional social service providers and funder communities
- Must be comfortable attending community meetings, meeting city and county officials, and representing The Salvation Army in various groups and situations
- Driving
- Minimally 21 years of age and possessing a valid Colorado Driver’s License.
- Requires acceptable results on an annual Salvation Army provided MVR screen
- Annual completion of a Salvation Army provided virtual Driver’s Safety Training Session
- Background Check
- Continued employment will be contingent upon a biennial background check that is processed in accordance with The Salvation Army’s policies.
