Position Overview

The position is located at the Smithsonian Institution, under the Under Secretary for Museums & Culture, within the Center for Folklife & Cultural Heritage (CFCH). The CFCH is a research and educational unit committed to increasing understanding and supporting cultural diversity through research, education, and community engagement. The incumbent serves as the Executive Assistant to the Director, ensuring smooth operations and supporting the successful execution of the unit's mission, including the Smithsonian’s 250th anniversary celebration in 2026.

Responsibilities
  • Manage the Director’s calendar, appointments, and meetings, including logistical arrangements and preparation of materials.
  • Develop agendas, take minutes, and coordinate meetings with staff, officials, and external partners.
  • Maintain department databases and files, ensuring proper records management.
  • Coordinate travel arrangements and logistical support for the Director.
  • Handle communications, including correspondence, emails, and calls, ensuring proper formatting and confidentiality.
  • Support special projects and assignments, exercising discretion and confidentiality as needed.
Qualifications
  • Experience in coordinating organizational activities and managing schedules.
  • Strong customer service skills and ability to respond to inquiries effectively.
  • Analytical skills to evaluate effectiveness and efficiency of operations.
  • Knowledge of organizational structures, policies, and procedures.
  • Excellent written and oral communication skills.
