Executive Assistant to the Chief Executive Officer
The Executive Assistant to the CEO works closely with the CEO to coordinate executive priorities and selected organization-wide responsibilities. The position supports strategic planning, Board governance, CEO-led meetings, and assigned projects and processes while helping translate decisions into action and maintain follow-through across departments. Responsibilities may expand as the needs and capacity of the CEO’s office evolve. This is a non-exempt position.
Accountability
Reports to the Chief Executive Officer.

Responsibilities
1. Coordinates the CEO’s priorities and assigned organizational work.
- Provides executive and administrative support directly connected to the CEO’s responsibilities
- Prepares relevant background information for matters requiring the CEO’s review or decision
- Coordinates assigned projects and priorities from planning through completion, clarifying responsibilities, timelines, and next steps
- Follows up with responsible leaders and keeps the CEO informed of progress, upcoming decisions, deadlines, and follow-up needs
2. Supports the organization’s strategic planning process.
- Maintains the schedule for progress updates, quarterly meetings, and other strategic plan activities
- Works with priority leads to gather updates and prepare concise organization-wide progress information
- Tracks decisions and follow-up needs, bringing matters requiring leadership attention forward
3. Coordinates Board and committee activities in partnership with the CEO and Board Chair.
- Coordinates meeting schedules, agendas, materials, minutes, signatures, approvals, and followthrough
- Maintains governance records and a calendar of recurring Board responsibilities
- Supports communication with Board members and tracks Board decisions, requests, evaluations, policy reviews, and other required actions
- Participates in and supports CEO-led meetings and related organizational engagement.
- Participates as a contributing member of assigned leadership and organizational meetings, offering relevant organizational knowledge and perspective
- Organizes assigned leadership meetings, town halls, and other organization-wide meetings or events
- Prepares agendas and meeting materials with the CEO and documents decisions and follow-up responsibilities
- Supports the preparation of executive communications and related materials for the CEO’s review
4. Manages assigned executive and organizational processes.
- Administers document management system workflows, including user support
- Coordinates the intake, routing, tracking, and completion of contracts, electronic signatures, executive documents, and other assigned processes
- Works with responsible leaders to keep assigned processes moving and recommends practical improvements to recurring workflows
- Assumes additional executive-office processes and cross-organizational projects as organizational needs evolve
5. Performs other duties as required by the CEO.
Qualifications
- Bachelor’s degree preferred; an equivalent combination of education and progressively responsible experience may be considered
- At least five years of progressively responsible experience supporting senior leaders or coordinating work across departments; relevant experience may include executive support, governance, operations, or project management
- Ability to work effectively across leadership and departments, build strong working relationships, and maintain follow-through
- Sound judgment and discretion, including the ability to work independently with confidential, sensitive, or time-critical matters
- Strong written, verbal, and organizational skills, including the ability to identify central issues, prepare clear meeting documentation, and tailor information to the audience
- Proficiency with Microsoft 365 and the ability to learn and administer PolicyTech, DocuSign, and other organizational systems
Physical Demands
- Uses both hands and wrists repetitively for prolonged periods.
- Driving is required.
- Some supervision may require standing for prolonged periods.
Expectations of Hours Worked
- 40 hours per week. Some scheduling flexibility is required for Board meetings and other organizational activities outside regular business hours.
