Job description

Our client, a boutique financial company in Manhattan, is looking to hire an Executive Assistant to support a few high-level executives within their medical devices team. In this position, the candidate must be detail oriented and able to prioritize well as these three executives are extremely busy. The successful candidate should have 2-3 years of administrative experience, preferably within financial services or healthcare. This is a growing firm and the candidate must also have a team-player mentality and excellent interpersonal skills. Sensitivity to confidential matters is required.

RESPONSIBILITIES

  1. Cover phones and prioritize calls
  2. Schedule meetings and conference calls and rearrange any conflicts
  3. Arrange domestic and international travel including flights, hotels, car services, and dinner reservations. Process visas and update passports as needed
  4. Manage heavy calendars
  5. Process expense reports and travel reimbursements
  6. Handle minor personal work as requested
  7. Schedule and arrange for conferences and send materials needed prior to the conference
  8. Assist with other administrative tasks and projects as needed

REQUIREMENTS
  1. 2-3+ years of administrative experience
  2. Finance experience preferred
  3. Bachelor's degree is required
  4. Poised and polished demeanor
  5. Close attention to detail is a must
  6. Ability to work independently as well as part of a team
  7. Superb written and verbal communication skills
  8. Proficiency with Microsoft Office
  9. Strong understanding of the finance/business world

SALARY
$95-125K (DOE) + bonus + incredible benefits/perks

HOURS
8/8:30am-5/6pm with flexibility
4 days per week in office
