Job Description
UPS is seeking a highly experienced and detail-oriented Executive Assistant (EA) to support an Executive Leadership Team Global Executive Leader who operates across multiple time zones and travels extensively. They will ensure the leader’s ability to effectively and efficiently perform their organizational responsibilities. This role requires exceptional organizational skills, judgment, discretion, ability to handle complex and difficult situations diplomatically and the ability to manage complex calendars, communications, and priorities in a fast-paced, international environment. Additionally, the position involves filtering correspondence to ensure executives receive pertinent information, coordinating the timely exchange of information among executives and senior managers, and drafting and editing executive communications. The role requires building relationships across the organization, exercising discretion in handling complex situations, and representing the executive’s office professionally.
Position is required presence in the office (5) days a week to support the SVP of International, Supply Chain Solutions and Healthcare at the UPS corporate office located Sandy Springs, GA.
Key Responsibilities
Calendar and Time Management
- Proactively manage leader’s intricate global calendar across multiple time zone to ensure effective use of time.
- Coordinate and prioritize meetings and events to ensure timely attendance and that executive needs and preferences are accommodated.
- Ensure optimal scheduling to maximize productivity.
Travel Coordination
- Plan, book, and manage all facets international and domestic travel.
- Prepare detailed itineraries with contingency planning.
- Monitor and respond to last-minute changes or travel disruptions.
Communication & Liaison
- Serve as a trust gatekeeper for communications, managing high volumes of email and messages.
- Filter correspondence to ensure executive only receives relevant and critical information requiring their attention.
- Compose, review, edit and format professional correspondence, presentations, and reports.
- Liaise with and build relationships with internal stakeholders and external partners on behalf of the executive.
Administrative Support
- Coordinate the timely receipt of information required from other executives and senior managers.
- Prepare briefing materials and pre-read documents ahead of meetings.
- Track and follow-up on action items and deadlines.
- Submit expenses and reconcile credit card and travel reports in a timely manner.
Required Qualifications
- Bachelor’s degree and have 5+ years of executive administration experience supporting a C-suite leadership team, inclusive of CEO
- International experience is a plus! Will need to plan and coordinate travel, including air and ground transportation, hotel reservations, required travel documents and itineraries
- Ability to manage and organize a highly complex and demanding calendar while being able to adjust at a moment’s notice
- Ability to field internal and external customer scheduling requests and provide recommendations aligned with the priorities of the executive and team
- Must know how to prioritize and multitask against multiple projects and deadlines while having strong attention to detail and care for the quality of execution
- Collaboration and exceptional communication skills with the internal executive support team and senior leadership, helping to coordinate meetings, agendas, related logistics and changing plans. Must be a team player.
- High proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
- High proficiency with collaboration tools (Zoom, Teams, etc.).
- Handle highly confidential and/or sensitive matters at a publicly traded company with discretion and tact
- Ability to anticipate needs, think critically, and offer solutions proactively.
- Needs to provide on-demand support, adjusting work hours and workload based on the needs of the executive and business
- Proactively develop and nurture relationships with key internal partners and all external customers

Additional Information
- This position is 100% on site and requires reporting to office Monday through Friday.
