Executive Assistant to Founders (Remote, Full-Time) full time
Support a mission-driven couple growing brands, real estate ventures, and a top-tier podcast.
This role supports a husband-and-wife founder duo as they expand their personal brands, podcast, and real estate ventures. We create meaningful content and high-impact, design-forward experiences—with the podcast as a key platform for connection and growth.
We're looking for a highly organized, resourceful Executive Assistant who can manage our time, energy, and operations with precision. This is a growth-oriented position for someone who thrives in a fast-paced, entrepreneurial environment and wants to play a vital role in building something special.
Admin & Executive Support
- Own and manage executive Google calendars with precision (15-min level of detail)
- Organize and manage Gmail inboxes; draft and respond to emails on behalf of executives
- Schedule appointments, coordinate meetings, and leverage automation tools
- Be the gatekeeper of time and energy for both founders
Operations & Logistics
- Plan and coordinate logistics for in-person podcasts, content shoots, meetups, and events
- Book travel and accommodations
- Support task and project management for hotel renovations, operations, and short-term rentals
- Coordinate with bookkeepers, pay vendors, and initiate wire transfers as needed
- Run payroll and assist with onboarding new hires
Content & Brand Growth
- Research podcast guests, speaking opportunities, and potential partnerships
- Schedule and coordinate content creation with the team and founders
- Assist in launching and managing campaigns related to brand, podcast, or real estate projects
- Leverage AI tools and systems to streamline operations, documentation, and reporting
Reporting & Systems
- Build simple dashboards and reports to track KPIs and project milestones
- Maintain organized systems inside Asana, Notion, or similar tools
Personal Assistance (As Needed)
- Provide occasional personal support to the founders
- Some travel may be required to support events, content shoots, or on-site logistics
- Thrive in fast-moving, entrepreneurial environments
- Are obsessed with organization, follow-through, and details
- Take initiative and don’t wait to be told what to do
- Love solving problems, doing research, and figuring things out
- Communicate clearly and professionally (written and verbal)
- Are comfortable using AI tools like ChatGPT or Claude to improve efficiency
- Enjoy wearing many hats and supporting both big-picture vision and daily tasks
- 2+ years of experience as an Executive Assistant or similar role
Proficiency in:
- Google Workspace (Gmail, Calendar, Drive)
- ChatGPT / Claude or similar AI tools
- Calendly, Zoom, Slack
- Strong discretion and ability to handle sensitive information
- Bonus: Familiarity with real estate, podcasting, or personal branding
Job Type: Full-Time (Remote)
Schedule: Monday–Friday (8-hour shift)
Occasional weekend or evening support may be needed
Experience levels: Intermediate (3 - 5 yrs), Expert (5+ yrs)
