Executive Assistant

CoverMyMeds is growing rapidly, and we are seeking a seasoned Executive Assistant to provide administrative support to executives and their teams. In this highly visible role, you will be responsible for providing analytical and specialized administrative support to relieve and assist executives of complex details and advanced administrative duties. You will coordinate activities between departments and outside parties and contact company personnel at all organizational levels to gather information and prepare reports.

Key Responsibilities
  • Maximizes leadership impact. Provide administrative support to a Leadership Team executive and others. Handles confidential and critical details of the team while managing daily coordination and administrative responsibilities.
  • Project Management. Provides meeting support that often requires cross functional coordination and high-level project management.
  • Event Coordination. Coordinates activities between departments and external parties/stakeholders. Plans and executes aspects of leadership team on- and off-site events. (i.e., logistics, room setup, required materials, refreshment needs)
  • Travel Management. Arrange regular travel, maintain T&E budgets, stay current with expense reporting and budget compliance
  • Communications. Assists in effectively communicating inside and outside the organization. Identifies tools, venues, forums and content that actively engages the audience and achieves desired outcomes. Creates draft with the support of automation and AI.
  • Optimization. Proactively and skillfully maintains and manages calendars to optimize time and efficiency in alignment with business goals and strategic priorities. Ensures meeting cadence, content and logistics maximize efficiency and effectiveness. Maintains agendas, identifies action items and monitors deliverables.
  • Leverages automation, AI and digital tools to streamline operations and executive support.
  • Creates impactful materials. Prepares and edits correspondence, presentations, and reports for executive-level meetings
  • Manages travel itinerary and experience. Coordinates all travel arrangements in a timely and cost-effective manner following policy guidelines.
  • Onboarding. Supports new hire onboarding ensuring a complete and welcome experience to the team.
Preferred Qualifications
  • 8+ years of advanced administrative support experience working with senior-level executives
  • Bachelors degree in business or related discipline
Critical Skills
  • Resiliency with the ability to navigate competing priorities and deliverables
  • Demonstrated experience applying analytical thinking, and organizational skills in a fast-paced work environment.
  • Fortune 500 experience and healthcare industry experience preferred.
  • Proven project management skills, including event planning and coordination, with the ability to manage multiple projects simultaneously.
  • Exceptional verbal and written communication skills, with the ability to collaborate effectively across all levels of the organization.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams, and Copilot) and other digital collaboration tools.
  • Demonstrated experience in leveraging automation and AI technologies to enhance efficiency and quality of administrative support.
  • Experience with executive travel management.
  • Executive presence; ability to interact in a variety of situations and people, sometimes under high pressure.
  • Ability to work independently and in a different location than team.
  • Cross functional collaboration, networking and team engagement.
