Location: City Hall, Houston, TX

Reports To: Chief of Staff (Lambda Green)

Status: Full-Time | In-Person | Discretion Required

Compensation: Competitive + Commensurate with Experience

Position Summary

Council Member Tiffany D. Thomas is an ascending public leader with a federal-level leadership arc. Her Executive Assistant (EA) is not just a scheduler—but a strategic operator and high-trust gatekeeper who filters the noise, structures her time, and ensures precision behind every appearance, engagement, and deliverable.

This role requires the judgment of a political strategist, the precision of a chief of protocol, and the grace of a senior executive administrator. The EA must be deeply attuned to the public and political implications of the Council Member’s calendar, energy, and presence. Every “yes” must be justified. Every “no” must be firm, strategic, and respectful. This is the nerve center for her time, access, and brand.

Key Responsibilities

  • Serve as chief strategist of time, prioritizing high-impact, high-presence engagements over routine requests
  • Scrutinize all invitations, using the “Time vs. Presence” framework to make evidence-based decisions
  • Guard and manage blocks for prep, reflection, national travel, and recovery — not just availability
  • Maintain and align calendar strategy with Chief of Staff and principal priorities

2. Protocol & Public Engagement Logistics

  • Plan federal-caliber engagements: roundtables, policy summits, national conferences, and media appearances
  • Coordinate flawless execution for every public appearance — from arrival logistics to press sequencing
  • Prepare run-of-show briefs, contact sheets, bios, and talking points for all high-profile events
  • Ensure Council Member is fully equipped: wardrobe, briefing documents, remarks, and backup materials

3. Workflow & Follow-Up Command

  • Track decisions and action items—nothing falls through the cracks
  • Triage inboxes, calls, and messages based on urgency and strategic relevance
  • Follow up with teams and stakeholders post-meeting to ensure momentum continues
  • Maintain a master scheduling and briefing log with outcomes, risks, and next steps

4. Executive Communications & Confidential Administration

  • Draft executive-level correspondence, briefing memos, acknowledgments, and high-visibility certificates
  • Maintain high standards of grammar, clarity, tone, and strategic intent in all communications
  • Discreetly handle sensitive political, personnel, or donor-related information
  • Coordinate between departments (Comms, Legislative, Community, External) for seamless alignment

5. Finance, Procurement, and Contract Oversight

  • Manage office budget tracking and maintain contracts and vendor files
  • Process purchases and payments in alignment with city procurement policies
  • Maintain p-card reconciliation and monthly financial reporting
  • Ensure financial transactions support both operational goals and public accountability

Ideal Candidate Profile

Experience Required

  • 5+ years supporting C-suite executives, high-profile electeds, or political principals
  • Experience managing fast-paced, political calendars with shifting national priorities
  • Direct experience with protocol for elected officials, government delegations, or VIPs
  • Demonstrated history of gatekeeping access and energy for high-capacity principals

Preferred Skills

  • Mastery of Google Suite, Microsoft Office, Outlook, Asana, and CRM platforms
  • Fluency in scheduling platforms, call sheets, and event brief preparation
  • Familiarity with municipal, state, and federal government operations
  • Comfort working with media, donors, national partners, and political figures
