Job description

AI safety-focused startup is looking for an Executive Assistant to support their three Co-Founders. With their recent Series A, including backing from a leading AI company, this is an incredible opportunity to join an experienced leadership team during a critical growth phase! Provide primary support to the CEO through calendar management, inbox management, meeting preparation, and occasional personal support, while also assisting the CSO and CTO with organizational needs and light scheduling. You will also plan monthly off-sites, organize team events, handle logistical support for fundraising activities, and work closely with the new Operations Manager. Someone who remains steady and calm under pressure, who has the confidence to implement organizational systems while also being a strategic thought partner and comfortable providing feedback when needed. Previous experience supporting multiple executives in a startup environment is essential. This is an in-office role in downtown San Francisco with occasional local travel to off-sites and CEO's home. 145-190K+ DOE + equity, comprehensive benefits, daily catered lunches, commuter benefits, and other great perks!
Responsibilities:
  • Provide high-level administrative support the the three Co-Founders, primarily to the CEO, with a focus on calendar management, scheduling, and meeting prioritization.
  • Manage the CEO's inbox, ensuring timely responses and effective organization.
  • Own all logistics for internal and external meetings, including preparation and follow-up.
  • Plan and coordinate team off-sites and leadership events, including occasional travel and on-site support.
  • Help with board meeting set up and prep, funding templates, and investor updates, etc.
  • Conduct regular priority-alignment check-ins and maintain proactive communication to stay ahead of shifting needs.
  • Support Co-Founders through calendar management, organizational support, and coordinating group meetings.
  • Light personal support to the CEO, such as handling errands, reservations, and package drop-offs, including occasional visits to the Executive's residence.
Qualifications:
  • 4+ years of experience as an Executive Assistant supporting multiple executives, particularly in fast-paced, early-stage, or venture-backed startup environments or a venture firm.
  • Longevity and strong tenure in past roles are desired.
  • Flexible and responsive to be available after hours when needed.
  • Strong organizational skills with the ability to manage complex calendars across multiple time zones.
  • Track record of planning and executing multi-day off-sites or customer-facing events.
  • Flexible, highly responsive, and dependable—able to adapt to urgent requests and shifting priorities.
  • Able to build systems and processes from the ground up, bringing structure to a growing function.
  • Comfortable giving and receiving direct feedback; able to disagree and commit when needed.
  • Proficient with modern productivity and collaboration tools such as Google Workspace, Notion, Brex, and Airtable.
