Position Summary
The Executive Assistant to the Chief Executive Officer provides high-level administrative and operational support that enables the CEO to focus on the organization’s most important priorities. This role serves as a trusted partner, manages complex scheduling and communications, coordinates executive-level meetings and travel, and helps drive timely follow-through on key commitments. The ideal candidate demonstrates exceptional judgment, discretion, organization, confidentiality, and professionalism in a fast-paced and growing environment for a private-equity portfolio manufacturing and products company.
Key Responsibilities
- Manage the CEO’s complex calendar, proactively resolving conflicts and prioritizing meetings based on business needs.
- Coordinate domestic and international travel, itineraries, accommodations, transportation, and related expense reporting.
- Prepare agendas, briefing materials, presentations, correspondence, and meeting materials for executive and board-level engagements.
- Track decisions, commitments, and action items; coordinate follow-up with leaders and stakeholders to support timely completion.
- Serve as a primary point of contact for internal and external stakeholders seeking access to the CEO.
- Draft, review, and edit communications on behalf of the CEO while maintaining an appropriate voice, tone, and level of confidentiality.
- Organize executive leadership meetings, off-sites, town halls, and other high-priority events.
- Anticipate the CEO’s needs, surface relevant information, and identify potential issues before they affect priorities or schedules.
- Maintain confidential files, records, contact lists, and other executive-office information.
- Partner with other executive assistants and functional teams to coordinate cross-company priorities and ensure a seamless flow of information.
- Support special projects, research, and operational initiatives as assigned.
- Continuously improve administrative processes, tools, and routines that increase executive effectiveness.
Required Qualifications
- 15+ years of executive administrative experience, including direct support for a CEO, president, or other senior executive.
- Demonstrated ability to manage complex calendars, travel, meetings, and competing priorities with accuracy and urgency.
- Excellent written and verbal communication skills.
- Strong judgment, discretion, and experience handling sensitive or confidential information.
- Advanced proficiency with Microsoft 365, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint.
- Exceptional attention to detail, organizational ability, and follow-through.
- Ability to work independently, adapt quickly, and remain composed in a dynamic environment.
- Availability to support occasional early-morning, evening, or time-sensitive needs, as required.
Preferred Qualifications
- Bachelor’s degree or equivalent combination of education and relevant experience.
- Experience supporting a CEO in a high-growth, public, private equity-backed, or similarly complex organization.
- Experience coordinating board meetings, investor interactions, or major company events.
- Familiarity with project-management, collaboration, and expense-management platforms.
