Position: Executive Assistant to Division Presidents

Location: Remote (must be located in the Dallas / Fort Worth Area)

Compensation: $70,000 – $90,000

Employment Type: Temp-to-Hire

Position Summary

We’re seeking a highly polished, forward-thinking Executive Assistant to provide high-level support to two Division Presidents. This role is critical to ensuring seamless executive operations and requires someone who is confident managing complex priorities, thrives under pressure, and anticipates needs before they arise.

Key Responsibilities
  1. Serve as the primary liaison for two Division Presidents, managing high-volume scheduling and shifting priorities.
  2. Coordinate intricate travel itineraries and logistics, including international/domestic flights, accommodations, and ground transportation.
  3. Prepare, reconcile, and track executive expense reports with accuracy and timeliness.
  4. Develop and edit high-impact PowerPoint presentations and executive-level documents.
  5. Collaborate with the on-site Office Assistant to ensure an efficient, well-run office environment.
  6. Support onboarding and workstation setup in partnership with facilities and vendors.
  7. Proactively handle office vendor relationships and day-to-day operational needs.
Qualifications
  • Minimum of 3 years of experience supporting senior-level executives in fast-paced, high-visibility environments.
  • Advanced proficiency in Microsoft Excel (including VLOOKUP, pivot tables, and data analysis), along with strong skills in Word and PowerPoint.
  • Comfortable using collaboration tools such as Microsoft Teams, Zoom, and SharePoint.
  • Impeccable organizational skills, discretion, and sound judgment.
  • Excellent written and verbal communication abilities, with a strong focus on follow-through.
  • Independent, proactive problem solver with a calm, professional presence.
  • Experience with facilities support or vendor coordination is a plus.
