We’re hiring an English & Polish-speaking Executive Assistant to support our leadership and operations team across scheduling, travel coordination, and vendor management in Poland. This is an hourly contractor role ideal for someone who thrives in a fast-moving environment and has prior experience supporting U.S.-based startups or remote-first tech companies.
You’ll be the glue that keeps our internal logistics together, from booking company travel to handling Polish admin tasks and liaising with local vendors.
Support the leadership team with calendar management, scheduling, and follow-ups
Book flights, accommodation, and manage travel logistics for team offsites and business trips
Liaise with Polish service providers (insurance, compliance, payroll, legal, etc.)
Coordinate logistics for team events, virtual meetings, and internal projects
Maintain organized records, contact lists, and shared documentation
Speak Polish and English fluently
Have 2–5+ years of experience as an Executive Assistant, Operations Coordinator, or similar
Have worked with U.S.-based startups or remote teams and understand how they operate
Are detail-oriented, organized, and thrive on getting things done without hand-holding
Can balance shifting priorities and communicate clearly across time zones
Flexible, hourly contractor role (~10–20 hours/month)
