Position Summary:

We are seeking a highly organized and proactive Executive Assistant / Junior Agent to join our team. This remote position begins with a focus on backend support and operations, assisting our Vice President and National Sales Manager. The ideal candidate will demonstrate a strong aptitude for systems, communication, and client service, with the potential to grow into a Junior Agent role representing clients and securing bookings.

Key Responsibilities (Initial Phase):

  • Support the VP and National Sales Manager with administrative and operational tasks
  • Contact performance venues to update and verify contact information
  • Maintain and update internal databases and CRM tools
  • Draft and manage contracts for artist bookings
  • Make collection calls to secure overdue deposits and signed contracts
  • Schedule conference appointments and draft follow-up emails
  • Send internal company reminders as directed by VP on hold dates, and help Operations in ticket data gathering and reporting.

Junior Agent Track (Post-90 Days, Based on Performance):

  • Represent a select group of clients in the Midwest territory
  • Support national calling efforts for acts requiring broader coverage
  • Develop and maintain client and venue relationships
  • Learn and implement the BiCoastal consultative approach to artist-venue matching
  • Earn additional income through a generous commission structure tied to successful bookings

Qualifications:

  • Strong written and verbal communication skills
  • Exceptional organizational and time management abilities
  • A proactive mindset with attention to detail and follow-through
  • Comfortable with cold/warm calls and professional follow-ups
  • Experience or genuine interest in the performing arts and artist representation
  • Tech-savvy, with the ability to learn CRM and contract management platforms
  • Able to work independently while remaining accountable to team goals
  • Prior experience in talent booking, venue management, or arts administration is a plus

Additional Requirements:

  • Availability for occasional travel to industry conferences and company summits
  • Reliable internet and a quiet, professional remote work environment

Compensation:

  • Eligible for additional commission-based earnings upon transition to Junior Agent role
  • Opportunities for career growth and expanded responsibilities
