Job Details

Working arrangement: Hybrid (4 days in the office, 1 day remote)

Salary Range: $95,000 - $115,000

Responsibilities:

  1. Manage diaries for junior and senior professionals.
  2. Schedule meetings, conference calls, and video conferences internally and externally.
  3. Arrange international and domestic travel (flights, hotels, cars, etc.).
  4. Assist in preparing and printing presentations & proposals.
  5. Handle corporate card and out-of-pocket expenses.
  6. Provide telephone and email coverage.
  7. Archive, file, scan, and print documents.
  8. Prepare and set up for internal meetings in conference rooms.
  9. Perform receptionist duties as needed to cover for other admins.
  10. Perform general ad-hoc office duties.

Requirements:

  1. 3 to 5 years of administrative assistant experience, ideally within the Financial Services industry.
  2. Experience working with a global team, understanding cultural differences, and coordinating across time zones.
  3. Proficient in MS Office (Word, Outlook, Excel, PowerPoint).
  4. Proactive team player with initiative and ability to work independently.
  5. Ability to work in a fast-paced environment.
  6. Excellent communication skills at all levels.
  7. Capable of handling multiple tasks and tight deadlines.
  8. Knowledge of Workday for expense processing is a plus.
