Job Title: Executive Assistant
The incumbent will provide administrative support services to the groups supporting the U.S. Army Medical Research and Development Command (USAMRDC) Chief of Staff (CoS) and Secretary to the General Staff (SGS).
Responsibilities:
- Assist the HQ FOIA and Privacy Action Officer: Create correspondence responses, track ongoing actions, assist with document reviews, and perform ancillary tasks as needed.
- Serve as the USAMRDC entry Point of Contact (POC) for Congressional responses: Handle responses for the Commanding General’s signature.
- Handle correspondence management: Log incoming and outgoing correspondence for SGS review and approval, notify staff upon review completion via email, telephone, or digital records systems.
- Provide GFEBS administrative support: Review and analyze error reports to make necessary corrections, including interface monitor errors.
- Manage Digital Signature Station: Serve as the primary POC.
- Training and documentation: File training certificates, update the Digital Training Management System (DTMS) and SharePoint spreadsheets for USAMRDC HQ civilians, deliver training guidance, review employee training statuses, and communicate upcoming deadlines. Distribute training opportunities to enhance compliance.
- Committee functions: Perform social committee duties, serve as secretary, document and distribute meeting minutes within five days, with approval from the Chairman or COR.
- Meeting coordination: Complete and distribute minutes as directed by SGS or SACO.
Required Experience:
- Experience providing senior executive administrative support.
- Excellent communication skills with high accuracy in grammar, spelling, and proofreading.
- Ability to work effectively and professionally in a fast-paced environment, maintaining confidentiality and flexibility while managing multiple tasks.
- High proficiency in MS Office, especially PowerPoint and Excel.
Additional requirements include US citizenship and the ability to pass a National Agency Check with Inquiries (NACI).
