As an Executive Assistant supporting the Director of Global FinOps Services, PMO/ACES, as well as providing secondary support for other Directors, you will be a strategic partner, problem-solver, and catalyst for efficiency in one of the world's most dynamic companies. PMO (Program Management Office) is focused on delivering finance operations capabilities globally, while ACES (Amazon Customer Excellence Systems) aims to drive customer experience improvements, operational efficiency, revenue protection, and an operational excellence culture.

Key job responsibilities:

  1. Management of complex calendars and scheduling with diplomacy and discretion
  2. Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner
  3. Coordination and planning of domestic and international travel
  4. Management of team work space, including moves and reconfiguration
  5. Track and help drive completion of key actions and follow-up on pending items (including meeting notes and actions items)
  6. Manage expense report coordination and submission
  7. Organize, execute and assist with team activities, including townhalls and social events
  8. Work closely with the leadership team to provide support to the global organization
  9. Have fun at work and help others do the same
  10. Act as a liaison for direct reports, facilitating communication between leadership and team members
  11. Mentor rising talent

About the team

Finance Operations (FinOps) supports Amazon globally by delivering finance technology solutions, corporate facilities, procurement services, and transactional finance. Working with Amazon’s businesses, we strive to provide the best possible service to Amazon’s customers, vendors, and employees, while also reducing costs and improving free cash flow. PMO (Program Management Office) focuses on delivering finance operations capabilities globally. ACES (Amazon Customer Excellence Systems) aims to improve customer experience, operational efficiency, revenue protection, and operational excellence.

BASIC QUALIFICATIONS

- 5+ years of executive assistant experience
- Experience with executive level calendar management
- Experience with domestic or international travel coordination
- Experience with Microsoft Office products and applications

PREFERRED QUALIFICATIONS

- Experience leading process improvements
- Experience in a fast-paced, high-tech company
- Experience designing processes to maximize efficiency
