We are looking for an exceptionally bright, well organized and self-motivated Executive Assistant to support the VP of the AWS AMO team. We are seeking a driven, bright, and motivated individual with a history of high performance to support our organization. This exciting role requires attention to detail, great organization and prioritization skills, the ability to plan ahead and to meet tight deadlines, all while juggling multiple critical requests.

A high level of integrity and discretion in handling confidential information, and professionalism in dealing with leaders (at and outside Amazon) is important, as is the ability to be flexible and change direction seamlessly. The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, and want to take on varied and exciting new projects and learn new skills. You’ll need to take effective action without having to know the total picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.

Key responsibilities include:

  • Manage complex calendars and scheduling with diplomacy and discretion.
  • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner.
  • Organize, execute, and assist with team activities (staff meeting agendas, on-sites/off-sites, team social events, etc.).
  • Act as dotted line lead to team of EAs.
  • Schedule cost effective air/hotel/ground transportation. Create detailed travel itineraries both domestic and international (including smooth transitions between time zones). Coordinate with in-house travel agents and manage international travel process. Submit expense reports in a timely fashion.
  • Coordinate closely with Recruiting teams, Facilities team, HR team, and other Executive Assistants within the AWS FDS team and Amazon community.
  • Track and help drive completion of key deliverables and follow up on outstanding items to include meeting notes and action items.

We have a diverse team and drive towards an inclusive culture and work environment. Our team is intentional about attracting, developing, and retaining amazing talent from diverse backgrounds. Our team members are active in Amazon’s 10+ affinity groups, sometimes known as employee resource groups, which bring employees together across businesses and locations around the world. These range from groups such as the Black Employee Network (BEN), Amazon Women in Engineering (AWE) and Glamazon (our LGBTQ+ community).

Key job responsibilities Include (but is not limited to):

  • Exceptional management of multiple complex calendars and scheduling requirements
  • Tracking and helping drive completion of key deliverables and following up on outstanding items
  • Partnering with leaders to understand their priorities and build processes to make their organizations happier and more effective
  • Managing group logistics and team space (including moves and reconfigurations)
  • Manage domestic and international travel
  • Complete and file expense reports
  • Assist with organizing and executing team activities
  • Having fun at work and helping others do the same
Basic Qualifications
  • 3+ years of senior level leadership support, or 1+ years of Amazon experience
  • High school or equivalent diploma
  • Experience with Microsoft Office products and applications
  • Experience with executive level calendar management
Preferred Qualifications
  • Experience in a fast-paced, high-tech company
  • Experience managing multiple calendars
