Responsibilities

  • Serve as the primary administrative partner to the Corporate Communications & Citizenship leadership team, coordinating calendars, meetings, travel itineraries, and expense reports; prepare materials and agendas.
  • Triage incoming communications and respond to information requests, policies, and executive actions; research issues and compile background information for decision-making.
  • Represent the division to internal and external stakeholders, build relationships, and stay current on market trends and priorities.
  • Perform a broad range of administrative tasks requiring independent action, judgment, and analytical skills.
  • Oversee division office operations including supplies, subscriptions, SharePoint sites, and distribution lists; serve as primary contact for department admin needs.
  • Process vendor contracts, purchase orders, and invoices; liaise with Accounts Payable to ensure timely submission and payment.

The Executive Assistant, Corporate Communications & Citizenship will provide executive-level administrative support and coordination to the leadership team of the Corporate Communications & Citizenship division, including the Chief Communications & Citizenship Officer and four direct reports.

The position will interact extensively with internal and external stakeholders, normally working with information that is of a critical and sensitive nature. A high degree of initiative is required in resolving issues, coordinating complex schedules across multiple leaders, and maintaining and building relationships. The ideal candidate will be a highly organized, proactive professional with exceptional attention to detail and the ability to manage a wide range of administrative tasks in a fast-paced environment.

This role is open to the mobile and resident personas. This is a hybrid position located in our Boston office, with an expectation of two or more days of in-office work, per week. This may change based on business need.

Your Day to Day:
  • Serves as the primary administrative partner to the Corporate Communications & Citizenship leadership team, including the Chief Communications & Citizenship Officer and four direct reports, with broad support extending to the wider division as needed. Coordinates complex calendars, meetings, schedules, travel itineraries, and expense reports across multiple leaders, and prepares requisite materials including agendas and meeting logistics. Serves as a primary point of contact to triage incoming communications (phone, mail, email) on behalf of the leadership team.
  • Responds to a wide variety of requests for information, policies and procedures, and executive action. Analyzes needs and problems, and determines approach and priority. Takes initiative to research technical or out-of-policy questions. Evaluates and refers matters for appropriate handling, and coordinates, compiles, and documents relevant data and background information to support executive decision-making and problem resolution.
  • Represents the company and the Corporate Communications & Citizenship leadership team to a wide variety of internal and external constituents. Builds relationships, proactively resolves issues, and stays current on market, industry, and company trends, strategies, and priorities.
  • Performs a broad range of administrative coordination and support duties requiring extensive communication within and outside the company. Execution of assignments requires a high degree of independent action, considerable judgment, and analytical skill.
  • Oversees daily office operations for the division, including ordering and maintaining supplies, managing team subscriptions, maintaining distribution lists and SharePoint sites, and serving as the primary point of contact for departmental administrative needs.
  • Manages the processing of vendor contracts, purchase orders (POs), and invoices, ensuring timely and accurate submission and payment while liaising with Accounts Payable.
  • Organizes, tracks, updates, and maintains files, budgets, and operational data, including SharePoint sites and distribution lists.
  • Provides support for division meetings, presentation development, team-building support, and other divisional initiatives.

  • High EQ and professionalism in managing multiple competing priorities and the needs of different stakeholders across the division.
  • Maintains confidentiality across a number of key personnel and business matters.
What You Bring:
  • Minimum of five years of experience providing administrative support in a professional office environment, with demonstrated experience supporting senior executives.
  • Bachelor's degree or equivalent work experience.
  • Proven ability to support multiple stakeholders simultaneously, manage competing priorities, and multitask effectively.
  • Experience managing vendor relationships, processing invoices and purchase orders, and coordinating with Finance or Accounts Payable teams.
  • A high level of discretion and experience handling confidential information.

This job is also eligible for variable pay.
