Position Summary

Plans and carries out administrative functions in support of the COO/CMO/CNO/CQO/CFO/AVP, requiring considerable knowledge of the organization.

Responsibilities
Essential Functions
  • Provides advanced, diversified, and confidential administrative support requiring broad and comprehensive clerical/secretarial experience, skill, and knowledge of organization policies and practices for the COO/CMO/CNO/CQO/CFO/AVP.
  • Has significant contact with senior management and organizational data.
  • Interacts professionally with all levels of management.
  • Establishes and maintains strong relationships with employees, senior management, board members, medical staff, and external contacts.
  • Handles confidential meetings and correspondence with discretion.
  • Performs administrative duties with multiple priorities and tasks.
  • Organizes and expedites work flow through the COO/CMO/CNO/CQO/CFO/AVP.
  • Provides work direction to other clerical personnel.
  • Organizes meetings, distributes materials, sets up audio/visual equipment, arranges refreshments, and transcribes minutes.
  • Schedules appointments, meetings, and travel, coordinating related arrangements.
  • Creates and maintains presentations, charts, graphs, databases, and spreadsheets.
  • Prepares and monitors budgets, recommending cost reduction processes.
  • Composes and types correspondence, reports, and technical papers.
  • Conducts internet research and data analysis.
  • Coordinates special events.
  • Answers calls, routes callers, takes messages, and handles inquiries with discretion.
  • Maintains regular attendance in accordance with policies and standards.
  • Ensures compliance with all policies and procedures.
Qualifications
Education/Training
  • Associate’s Degree or proof of completion within 12 months of hire.
  • Two years of customer service, administrative, or secretarial experience may substitute for the degree.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access).
