Job summary

WellPower, serving the Greater Denver Metro area, seeks an Executive Assistant to support the Chief Operating Officer with strategic calendar management, project coordination, and cross-functional collaboration.

Qualifications

  • Bachelor's degree preferred (Business, Communications, Organizational Development, or related field)
  • 5+ years supporting C-suite or senior executives
  • Experience preparing executive-level communications and presentations
  • Experience coordinating travel and managing executive expense reporting
  • Proficiency with Microsoft Office and virtual meeting platforms (Zoom, Teams)

Responsibilities

  • Manage and optimize the COO's calendar and scheduling
  • Coordinate cross-departmental strategic projects and initiatives
  • Filter information and requests to enable focus on high-value priorities
  • Anticipate COO needs and remove obstacles to progress
  • Facilitate communication within the Office of the COO
  • Prepare meeting materials, agendas, and follow-up actions
  • Coordinate COO travel and expense reporting
  • Plan and execute COO events and leadership meetings
  • Handle confidential information with discretion and professionalism
  • Support cross-organizational initiatives with briefing materials and summaries
  • Perform other duties as assigned

Position Summary:

The Executive Assistant serves as a strategic partner to the Chief Operating Officer, operating with exceptional judgment, strong project management knowledge, and a proactive, solutions-oriented mindset. This role supports the COO in managing complex priorities, driving high-impact initiatives, coordinating Senior Leadership activities, and strengthening communication across the COO's team. The Executive Assistant manages sensitive information with absolute discretion, ensures operational excellence, and helps enable the organization's mission by maximizing the COO's effectiveness.

The posted range represents the full hiring range. Offers will not exceed this range, the majority of candidates are placed near the midpoint based on experience and qualifications.

Job Duties & Functions:
  • Manage and optimize the COO's complex calendar, prioritizing meetings and anticipating scheduling needs
  • Coordinate, track, and support execution of cross-departmental strategic projects and initiatives
  • Serve as the strategic intake and prioritization lead for the COO, filtering information and requests to enable focus on high-value priorities
  • Anticipate the Office of the COO's needs and proactively remove obstacles to progress
  • Facilitate communication and alignment within the Office of the COO.
  • Coordinate all COO meetings, including agenda development, materials preparation, and follow-up action tracking
  • Act as the primary point of contact for COO regarding logistics, information requests, and meeting follow-ups
  • Draft, edit, and prepare internal and external communications, presentations, and reports
  • Coordinate and manage COO travel arrangements and expense reporting
  • Plan, coordinate, and execute COO events, offsites, and key leadership meetings with a high level of detail and accuracy
  • Manage confidential information with discretion, sound judgment, and professionalism
  • Support cross-organizational initiatives by preparing briefings, summaries, and decision-ready materials for the COO
  • Perform other duties as assigned
Requirements & Qualifications:
EDUCATION:
  • Bachelor's degree preferred (Business, Communications, Organizational Development, or related field), or equivalent professional experience
EXPERIENCE:
  • Minimum of 5+ years of experience directly supporting C-suite or senior executives
  • Proven ability to manage confidential or sensitive executive-level information
  • Experience preparing executive-level presentations, reports, or formal communications
  • Experience coordinating travel and managing executive expense reporting
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams)
  • Experience with project management tools (e.g., Asana) preferred

Work Location: This is a hybrid opportunity open to folks residing in the Greater Denver Metro area and will require the majority of days per week on-site with some time working remote.

Shift/Hours: This is a Monday through Friday, 8-5 PM role. May require occasional evening or weekend hours.

Physical Requirements: Ability to sit, stand, bend, and reach; operate standard office equipment including phone, computer, copier, printer, and scanner. Occasional lifting up to 50 pounds. Primarily office-based work. May require occasional evening or weekend hours.
