Job summary

Figma is seeking an Executive Assistant to support the Chief People Officer and VP, Talent, managing day-to-day administrative and operational needs while driving initiatives that advance the company’s people priorities.

You will keep leaders and teams organized, coordinate calendars and travel, cross-function with the People group, and help scale processes as Figma grows, delivering an excellent internal and external experience.

Qualifications

We're looking for an Executive Assistant to support Figma's Chief People Officer and VP, Talent to strategically manage the day-to-day administrative and operational needs of the People organization, while also contributing significantly to projects and initiatives that help drive the company's priorities.

You’ll be responsible for keeping the leaders and teams organized, aligned, and helping them maintain focus while scaling for growth and delivering an exceptional internal and external experience.

This role will strategically manage day-to-day administrative and operational needs, infuse Figma's culture and values in the work to create a meaningful Figmate experience, and cross-functionally collaborate with the broader People Org and stakeholders across Figma.

We are looking for an experienced Executive Assistant who has supported at a VP or C-Suite level before. Experience with People or Talent Teams is a bonus.

This is a full-time role based out of our SF Hub.

What you'll do at Figma:
  • Support your Executives with calendar, travel, meetings, agendas, preparation, tasks, notes, emails
  • Serve as a strategic thought and execution partner to your Executives and their leadership teams, with a focus on team cohesion, operations, and planning
  • Identify areas to optimize the Executives’ time and make recommendations regarding time management, prioritization, and business needs
  • Partner cross-functionally with the People Team and other internal teams to ensure alignment on projects, company milestones, and internal events, including ad hoc project management as needed
  • Act as a delegate for your Executives by signing off on expenses, approving POs, and managing other tooling as needed, with careful attention to internal policy
  • Find opportunities for process optimization across team and company workflows
  • Prepare and/or build content, presentations, and key documents for your leaders
We’d love to hear from you if you have:
  • 7+ years of experience in a senior administrative support role
  • Experience working in a fast-paced environment with the ability to adapt quickly to changing demands
  • Outstanding communication skills and the ability to connect with a broad spectrum of stakeholders internally and externally, both in person and online
  • Ability to shift gears and prioritize based on volume and urgency, while anticipating needs and connecting dots across competing demands
  • Proven track record of maintaining confidentiality and sound judgment in sensitive situations
While it's not required, it's an added plus if you also have:
  • Experience with our product suite
  • Supported teams of 100+ people (bonus points for complex global teams)
  • Previous experience supporting People or Recruiting teams

Pay Transparency Disclosure

Job level and actual compensation will be decided based on factors including, but not limited to, individual qualifications objectively assessed during the interview process (including skills and prior relevant experience, potential impact, and scope of role), market demands, and specific work location.

Figma provides paid sick leave, holidays, and other leave benefits in compliance with applicable federal, state, and local laws, including the requirements of the Washington Minimum Wage Act and related regulations. Exempt employees are eligible for employer‑provided paid flexible PTO in addition to flexible paid sick leave. PTO is subject to manager approval. Additional benefits may include company recharge days, cell phone and home internet reimbursements, and a number of lifestyle spending accounts. Figma also offers sales incentive compensation for most sales roles and an annual bonus plan for eligible non‑sales roles. All compensation and benefits are subject to applicable plan terms and may be modified by Figma at any time, consistent with applicable law.

Annual Base Salary Range: $153,000—$269,000 USD
