Where you come in:

  • Serve as a trusted liaison and extension of the EVP/Chief People & Culture Officer with the Executive Leadership Team, People & Culture leadership team, employees, external partners, and other stakeholders, ensuring clear communication, timely follow-through, and appropriate escalation.
  • Represent the executive with professionalism by managing meeting requests, welcoming visitors, responding to inquiries, and coordinating interactions with senior leaders, board members, candidates, customers, and business partners.
  • Develop, format, proofread, and maintain executive-level presentations, organizational communications, reports, briefing materials, and other business documents for leadership meetings, board and committee discussions, town halls, employee engagement initiatives, and strategic People & Culture priorities.
  • Coordinate logistics for People & Culture leadership meetings, executive offsites, team-building events, employee listening sessions, recognition moments, culture initiatives, and other cross-functional programs that support engagement and organizational effectiveness.
  • Plan and execute executive meetings and events, including venue coordination, catering, audiovisual requirements, transportation, accommodations, meeting materials, and onsite support.
  • Drive special projects and assignments by clarifying objectives, organizing workstreams, tracking milestones, coordinating stakeholders, monitoring progress, solving issues, and ensuring timely completion with minimal direction.
  • Screen, prioritize, and manage incoming calls, emails, messages, and correspondence, handling routine matters independently and surfacing urgent or sensitive items for executive attention.
  • Arrange domestic and international travel, including itineraries, transportation, lodging, meeting accommodations, and expense reporting in accordance with company policies and procedures.
  • Handle highly sensitive and confidential corporate, personnel, organizational, compensation, talent, and employee relations information with the utmost discretion, sound judgment, and professionalism.
  • Build and maintain strong working relationships across the People & Culture organization and with employees at all levels, partnering effectively with Legal, Finance, Communications, Facilities, IT, and executive support teams to advance business objectives and company events.
  • Coordinate high-level and sensitive interactions with senior executives, board members, external advisors, executive candidates, customers, and business partners.
  • Support onboarding activities for direct reports and new team members, including coordinating equipment, schedules, orientation activities, and access requirements.
  • Create and distribute regular executive communications, newsletters, and team updates to large employee audiences.
  • Anticipate executive and team needs, identify opportunities to improve administrative workflows, and proactively create systems that increase efficiency, clarity, and follow-through.
  • Perform other duties and special projects as assigned.
What makes you successful:
  • Exceptional organizational, project management, and prioritization skills.
  • Advanced proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook, Teams, Word, and Excel.
  • Strong written and verbal communication skills.
  • High degree of emotional intelligence, professionalism, and executive presence, with the ability to interact confidently and appropriately with senior leaders and confidential stakeholders.
  • Ability to manage multiple complex projects simultaneously with minimal supervision.
  • Strong business judgment and ability to understand enterprise priorities, People & Culture initiatives, and organizational sensitivities.
  • Demonstrated experience coordinating large-scale meetings, events, and corporate programs.
  • Strong attention to detail and commitment to confidentiality.
  • Ability to exercise sound judgment and work effectively under pressure in a dynamic environment.
