Job summary

Carlyle Group is seeking an experienced executive assistant to support the Head of Global Investment Solutions and the Head of Strategy. The role involves calendar management, scheduling, travel planning, and coordinating meetings and events across domestic and international sites.

The ideal candidate has 7–10 years of senior-level support experience, advanced Microsoft Office skills, and comfort with CRM tools like DealCloud.

Qualifications

Responsibilities

  • Prepare agendas and materials for Leadership Team meetings and events.
  • Handle expense reports and reimbursements with Concur or similar system.
  • Support office operations and coordinate with IT for AV setup.

Job description

Position Summary

The principal responsibility of this position is to provide executive administrative support to the Head of the Carlyle Group’s Global Investment Solutions, one of the firm’s three business segments, as well as the Head of Strategy.

Responsibilities
  • Proactively maintain calendars, contacts and tasks (primarily via Microsoft Office); schedule and coordinate internal and external meetings and events, track attendance, register and greet guests, and manage catering arrangements.
  • Coordinate complex domestic and international travel arrangements, including commercial and private flights, car service, dinner reservations, client meetings, and events; check managers into flights, track flights and weather, and troubleshoot travel problems, including after‑hours or weekend issues.
  • Manage the Head of Investment Solutions’ inbox: prioritize email, draft and respond to routine inquiries, flag urgent matters, and keep the inbox organized.
  • Support Leadership Team meetings, offsites, and Town Halls by scheduling, preparing and distributing agendas, and handling pre‑ and post‑meeting activities.
  • Book conference rooms, lunch/dinner reservations, and plan and manage team events, including offsites and Town Halls, and draft event agendas.
  • Coordinate investor meetings by liaising with stakeholders, ensuring all necessary information and materials are prepared and provided in advance.
  • Review, edit and complete expense reimbursement reports using Concur, work with AP for timely payments, and track reimbursements.
  • Perform general administrative tasks such as preparing correspondence, organizing files, data entry, maintaining contact lists and process documents, archiving, and printing pre‑meeting materials.
  • Provide general administrative office support as requested, including handling incoming calls, copying, filing, and faxing.
  • Prepare, print and ship presentation materials to ensure availability during team onsite activities and travel.
  • Collaborate with IT to set up and test audio/visual components for meetings in advance.
  • Order office supplies and manage guest deliveries at the office reception.
  • Assist with special projects as needed and proactively anticipate work assignments.
  • Maintain confidentiality and discretion when handling sensitive information and documents.
  • Build strong professional relationships with colleagues in all Carlyle offices worldwide.
  • Perform other reasonably related duties as assigned.
Qualifications
  • Education: Bachelor’s degree strongly preferred.
  • Professional Experience: At least 7‑10 years supporting senior professionals in a corporate environment.
  • Skills: Excellent Microsoft Office (Outlook, Word, PowerPoint, Excel) and CRM database (DealCloud) proficiency.
  • Competencies & Attributes:
    • Willingness to work in the NY office at least four days each week with flexibility on Fridays.
    • Highly organized, proactive, and willing to go the extra mile.
    • Strong prioritization, multitasking, and deadline‑management skills.
    • Ability to work independently with minimal supervision and strong follow‑through.
    • Excellent written and verbal communication, strong attention to detail.
    • Collaborative/teamwork attitude.

Benefits & Compensation

The anticipated base salary range for this role is $110,000‑$120,000. In addition to base salary, the hired professional will receive a comprehensive benefits package, including retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits, and wellness programs. A discretionary annual incentive program may also be available based on individual and organizational performance.
