Overview

Our client is seeking a highly experienced and discreet Executive Assistant to provide comprehensive, high-level support to the CEO. This pivotal role serves as a key gatekeeper, trusted advisor, and organizational force for a dynamic leader in the film, television, animation, theatre, and gaming industries. The ideal candidate is a proactive, strategic thinker with exceptional judgment, unwavering discretion, and a proven ability to manage complex priorities in a fast-paced environment. This individual will create structure amid chaos, anticipate needs, and ensure the CEO’s time is optimized for maximum impact.

Key Responsibilities
  • Provide comprehensive, confidential, and proactive support to the CEO, anticipating needs and resolving issues independently.
  • Maintain the highest level of confidentiality regarding all business and personal matters.
  • Serve as the primary point of contact for internal and external requests, filtering and prioritizing inquiries to optimize the CEO’s time. Professionally answer calls and take/relay messages accurately.
  • Manage a dynamic and demanding calendar, scheduling meetings, appointments, and travel with precision and efficiency across multiple time zones.
  • Prepare agendas, coordinate logistics, attend meetings, and transcribe minutes to ensure effective follow-up.
  • Handle all aspects of domestic and international travel, including flights, accommodations, transportation, and itineraries, anticipating disruptions and proactively resolving issues.
  • Oversee smooth operation of the executive office, ensuring a professional and efficient environment.
  • Draft, edit, and proofread correspondence, presentations, and other documents with accuracy and clarity.
  • Assist with special projects by conducting research, gathering data, and coordinating with internal and external stakeholders.
  • Facilitate communication and collaboration between various offices, departments, and external partners to ensure alignment and efficiency.
  • Generate preparation materials for meetings including briefing documents, presentations, and research.
  • Interface directly with key industry players with poise and professionalism.
  • Create briefing materials, reports, and presentations for meetings, events, and other key initiatives.
  • Accompany and support the CEO at premieres, festivals, red carpet events, and on-set visits, providing real-time assistance for seamless experiences.
  • Prioritize and triage tasks effectively, moving gracefully from one task to another based on urgency and importance.
  • Collaborate closely with the personal support team to synchronize professional and personal priorities.
  • Optional: Provide creative support by reading and writing coverage on scripts, offering summaries and analysis.
Qualifications
  • Minimum of 5 years of experience as an executive assistant supporting C-level executives, preferably in the entertainment industry or a related creative field.
  • Proven ability to maintain confidentiality and exercise exceptional judgment in sensitive situations.
  • Exceptional organizational, time-management, and problem-solving skills.
  • Strong communication, interpersonal, and diplomacy skills.
  • Ability to anticipate needs, prioritize effectively, and work independently with minimal supervision.
  • Proficiency in Microsoft Office Suite, Google Workspace, and relevant software.
  • Familiarity with entertainment industry challenges is preferred.
  • Bachelor’s degree is preferred.
