This role provides high-level, strategic support to a senior executive in a fast-paced, high-growth environment. The Executive Assistant will manage a complex calendar, coordinate cross-functional initiatives, and serve as a trusted point of contact for internal and external stakeholders. You will drive operational efficiency, prepare meeting materials, and handle communications with discretion and professionalism. This position demands exceptional organizational skills, the ability to prioritize competing demands, and a proactive mindset. You will also contribute to planning offsites, leadership meetings, and internal events, while leveraging modern productivity tools and AI to scale executive support. The role offers an opportunity to work closely with top leadership, shaping the flow of information and ensuring strategic priorities are executed flawlessly.

Accountabilities
  • Manage the executive’s complex calendar across internal, external, and personal commitments, prioritizing effectively and anticipating conflicts.
  • Serve as the primary contact for senior stakeholders, including clients, investors, partners, and other executive assistants.
  • Draft, edit, and manage executive communications, ensuring clarity, professionalism, and appropriate tone.
  • Prepare meeting agendas, briefing materials, and contextual background while anticipating questions and surfacing potential risks.
  • Coordinate with cross-functional teams and leadership on tactical initiatives and follow-through across multiple workstreams.
  • Track priorities, action items, and follow-ups with discipline to ensure accuracy and reliability.
  • Support planning and execution of offsites, leadership meetings, internal events, and ad-hoc gatherings.
  • Continuously improve operational efficiency using productivity tools, automation, and AI where appropriate.
Requirements
  • 5+ years of experience supporting C‑suite executives or founders in U.S.-based technology companies or high-growth startups.
  • Strong communication skills, able to represent executive leadership externally with professionalism, discretion, and emotional intelligence.
  • Proven ability to operate independently in high-expectation environments while maintaining proactive communication.
  • Exceptional attention to detail and ability to manage complex calendars, competing priorities, and multiple deliverables.
  • Strong organizational systems for task prioritization, tracking, and follow-through across multiple workstreams.
  • High degree of discretion and sound judgment when handling confidential information.
  • Advanced proficiency with Google Workspace, Slack, Zoom, and other collaboration tools, with experience leveraging AI and automation.
  • Flexibility to work Pacific Time business hours, including early mornings, late evenings, and international travel when required.
  • Candidates must reside in CO, FL, GA, KS, MO, NC, NV, SC, or WI; immigration sponsorship is not available.
