About The Role

We are seeking an experienced Executive Assistant to provide comprehensive support to our senior leadership team, including the Chief Marketing Officer, Chief Operating Officer, and SVP of Corporate Development. This is a remote position designed for a proactive and detail-oriented professional who excels in managing complex schedules, facilitating communication, and coordinating logistics for high-level executives. The ideal candidate will possess exceptional organizational skills, discretion, and the ability to anticipate needs, ensuring the smooth operation of executive functions. This role requires flexibility to work outside of standard hours, including evenings and weekends, and may involve travel, meetings, and special events. The Executive Assistant will serve as a vital link between senior management and internal/external stakeholders, contributing to the achievement of corporate goals and operational efficiency.

Qualifications

  • Minimum of 5+ years of executive-level support experience in a large corporate setting
  • Proven experience in travel scheduling and logistics coordination
  • Strong proficiency in PowerPoint, Excel, MS Word, and Outlook
  • Excellent verbal and written communication skills
  • Demonstrated ability to handle highly sensitive and confidential information
  • Exceptional organizational skills with keen attention to detail
  • Ability to manage multiple projects simultaneously with a sense of urgency
  • Self-initiative and proactive problem-solving capabilities
  • Flexibility to work outside normal business hours and travel as needed
  • High level of professionalism and discretion

Responsibilities

  • Provide high-level administrative support to senior executives, including managing calendars, emails, and phone communications
  • Coordinate complex scheduling for meetings, conferences, and events, including logistics, venue arrangements, and catering
  • Manage travel arrangements both domestic and international, including accommodations, transportation, and itineraries
  • Attend meetings, take detailed notes, and follow up on action items to ensure timely completion
  • Facilitate effective communication between internal teams and external partners at all organizational levels
  • Prepare, review, and edit business correspondence, reports, and presentations using MS Office tools
  • Organize and coordinate internal and external events, team communications, and off-site activities
  • Maintain strict confidentiality of all company and employee information
  • Track and process expense reports and reimbursements accurately and promptly
  • Greet visitors and manage onsite logistics when required
  • Support special projects and initiatives as assigned by senior leadership
