Job summary

Star Mountain Capital in Tampa, FL is seeking an Executive Assistant to support the President. You will manage calendars, arrange travel, prepare meeting materials including agendas and reports, and maintain the CRM with accurate information.

Qualifications

Responsibilities

  • Assist in managing the President's calendar, including scheduling meetings and appointments.
  • Manage and book all President travel, including flights, hotels, and ground transportation; handle itineraries and changes.
  • Prepare meeting materials such as agendas, tear sheets, and reports.
  • Keep CRM database up to date with relevant information.
  • Act as liaison between the President and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Anticipate the President’s needs and address them proactively.
  • Manage and prioritize multiple tasks and deadlines effectively.
  • Report to the Senior Executive Administrator and provide high-level administrative support.

Position Description
  • Assist in managing the President's calendar, including scheduling meetings and appointments.
  • Manage and book all President travel, including flights, hotels, ground transportation, itineraries, and real‑time changes; ensure seamless logistics and timely communication.
  • Assist in the coordination and preparation of materials for meetings, including agendas, tear sheets, and reports.
  • Ensure CRM database is up to date with relevant and accurate information.
  • Act as a liaison between the President and internal/external stakeholders, including clients, partners, etc.
  • Handle confidential information with discretion and professionalism.
  • Anticipate the President’s needs and proactively address them.
  • Manage and prioritize multiple tasks and deadlines effectively.
  • Reports to the Senior Executive Administrator and provides high‑level administrative and operational support.
Qualifications
  • 1-10 years’ experience as an executive assistant to a senior level professional or similar role, with experience in the finance or asset management industry preferred.
  • Bachelor's degree or equivalent experience.
  • Strong organizational and time management skills with great work ethic and an understanding that work may need to occur late evenings or on weekends.
  • Superior technical aptitude and digital‑native comfort level essential for success in our highly tech‑enabled, fast‑paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively in a fast‑paced environment.

Location: Must be willing to work 5 days per week out of our Tampa, Florida office

Compensation

The exact salary will be determined based on the candidate's qualifications, experience, and performance during the selection process. Employees are eligible for an annual discretionary bonus and other economics. Total compensation may vary by role, location, department, and individual performance.
