Job summary

Author & Edit Hospitality in Phoenix is seeking an experienced Administrative Assistant to support the President and senior leadership. You will manage calendars, coordinate travel, prepare reports, and handle communications with discretion.

This role requires 2+ years in executive support, excellent written and verbal communication, and organizational prowess in a fast-paced setting. Notary certification preferred or willing to obtain; join a growing brand with on-site amenities and growth

Qualifications

  • 2+ years of executive or administrative support experience.
  • Professional, polished written and verbal communication.
  • Highly organized with strong attention to detail and multitasking.
  • Fast-paced environment with deadlines and accuracy.
  • Trustworthy with confidential information.
  • Proactive, resourceful, and independent problem solver.
  • Proficient in Microsoft Office; Notary Public certification preferred or willingness to obtain.

Responsibilities

  • Provide comprehensive administrative support to the President and senior leadership.
  • Coordinate daily office operations to ensure smooth and efficient administrative functions.
  • Assist with projects, reports, presentations, and special initiatives as directed.
  • Manage internal meetings, hotel events, and executive communications with professionalism and discretion.
  • Serve as the primary point of contact for the executive office, handling correspondence, calls, and inquiries.
  • Maintain calendars, schedule appointments, and coordinate travel arrangements for leadership.
  • Prepare, format, and organize reports, presentations, and business documents.
  • Welcome and assist visitors while maintaining a professional and hospitable office environment.

What You’ll Do

  • Highly organized with strong attention to detail and the ability to manage multiple tasks at once.
  • Comfortable working in a fast-paced environment while meeting deadlines and staying accurate.
  • Trustworthy and discreet, with the ability to handle sensitive and confidential information.
  • Proactive, resourceful, and confident in solving problems independently.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); Notary Public certification preferred or willingness to obtain
