Job summary

SoTalent is seeking an experienced Executive Assistant to the Owner in a dynamic construction-focused environment. You will act as the Owner's right-hand partner, handling confidential matters, coordinating priorities, and ensuring operations run smoothly across business and personal domains.

You will support communication, scheduling, travel, and documentation, translating discussions into formal materials and driving efficiency for leadership and teams.

Qualifications

  • Minimum 5 years of Executive Assistant or senior administrative support experience.
  • Experience supporting executives, business owners, or senior leadership teams.
  • Proven ability to manage multiple priorities in fast-paced environments.
  • Advanced Microsoft Office Suite: Word, Excel, PowerPoint, Outlook.
  • Strong discretion and confidentiality practices.
  • Excellent verbal and written English communication.

As the Executive Assistant to the Owner, you will be responsible for managing a wide range of executive, administrative, operational, and personal support functions.

You will serve as the Owner's trusted right-hand partner, helping manage priorities, streamline communications, coordinate business activities, and ensure daily operations run efficiently in a dynamic, growth-oriented construction environment.

Key Responsibilities

Executive & Administrative Support

  • Serve as the primary administrative partner to the Owner.
  • Manage daily business and personal priorities while maintaining strict confidentiality.
  • Anticipate executive needs and proactively resolve issues before they arise.
  • Handle sensitive information and communications with professionalism and discretion.

Calendar & Schedule Management

  • Coordinate and manage complex personal and business calendars.
  • Schedule meetings, appointments, and events across multiple stakeholders.
  • Resolve scheduling conflicts and ensure efficient time management.
  • Monitor upcoming commitments and proactively prepare agendas and materials.

Research & Business Development Support

  • Research:

Travel & Logistics Coordination

  • Arrange domestic and international travel.

  • Monitor deadlines and ensure action items are completed.
  • Support special projects and strategic initiatives as assigned.

Required Qualifications

Experience
