Fieldpiece Instruments seeks an experienced Executive Assistant to support our CEO and Utah-based executives. This role goes beyond calendar management, acting as a trusted partner who keeps priorities moving, anticipates needs, and maintains professional discretion in a fast-moving environment.

You will manage complex calendars, prepare materials, coordinate board meetings, and handle sensitive information with excellent judgment. The position is hybrid, onsite in Utah, with travel up to 25%.

Qualifications

  • 5+ years of Executive Assistant experience, ideally supporting a CEO or C-level executive.
  • Bachelor’s degree required.
  • Strong written and verbal communication skills.
  • Excellent judgment, discretion, and professionalism.
  • Proactive, resourceful approach with ability to work independently.

Responsibilities

  • Manage complex calendars, meetings, travel, and communications for executives.
  • Prepare presentations, reports, and other executive materials.
  • Coordinate board and executive meetings and follow-up.
  • Track priorities, commitments, and action items for timely execution.

This role follows a hybrid work schedule, with employees typically working onsite three days per week. Additional in-office days may be required from time to time for onboarding, training, team meetings, project collaboration, or other business needs. Travel is expected to be up to 25%.What You’ll DoExecutive SupportManage complex calendars, meetings, travel, and executive communications.Prepare presentations, reports, agendas, and other executive materials.Coordinate board and executive meetings, including logistics and follow-up.Track priorities, commitments, and action items to ensure timely execution.Executive Partnership & ProjectsAnticipate needs, resolve issues, and help executives stay focused on key priorities.Serve as a liaison with internal and external stakeholders.Conduct research and coordinate special projects and initiatives.Handle sensitive information with exceptional judgment and discretion.Office OperationsCoordinate vendors, repairs, office services, mail, supplies, and related expenses.Maintain an organized, professional, and well-functioning Utah office.Coordinate office programs and activities.5+ years of Executive Assistant experience, ideally supporting a CEO or other C-level executives.Bachelor’s degreeExceptional organizational skills and the ability to manage multiple executives, priorities, and deadlines.Strong written and verbal communication skills.Excellent judgment, discretion, and professionalism.A proactive, resourceful approach—you anticipate needs rather than waiting for direction.Strong problem-solving and project-management capabilities.Comfortable operating independently in situations where the path forward may not always be clearly defined.Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint, along with the ability to quickly learn new technology.Ability to build strong working relationships across all levels of an organization.Flexibility to occasionally support time-sensitive needs outside normal business hours.Why You'll Enjoy Working at FieldpieceAs a privately held company, we invest for the long term—in our people, our products, and our future.
