About the Role

We’re looking for a sharp, resourceful, and highly assertive Executive Assistant who takes ownership and keeps things moving. You should be comfortable chasing down answers, asking tough questions, pushing for deadlines, and finding solutions when the first answer is “no.”

This role requires sound judgment, initiative, and relentless follow-through. You’ll work closely with company leadership to protect their time, manage competing priorities, and turn decisions into completed tasks. The right person can be direct without being disrespectful, persistent without damaging relationships, and independent while knowing when to escape.

What You’ll Do

  • Own leadership calendars, scheduling, travel arrangements, and meeting preparation.

  • Act as a confident gatekeeper, protecting leadership’s time and attention.

  • Manage email and correspondence, flag urgent issues, and keep outstanding requests from slipping through the cracks.

  • Track commitments, deadlines, and action items; follow up firmly with team members, vendors, and partners.

  • Anticipate problems and bring practical solutions before issues become urgent.

  • Prepare expense reports, maintain basic financial tracking, and organize documents and files.

  • Research options, compare proposals, and work with vendors to secure favorable terms within approved parameters.

  • Prepare presentations, meeting materials, and clear, professional communications.

  • Take ownership of special projects, events, and day-to-day operational needs.

Who You Are

  • Assertive and professional: You’re comfortable asking direct questions, setting boundaries, and holding people accountable.

  • Resourceful and persistent: You investigate, think creatively, and find a path forward when obstacles arise.

  • Proactive and independent: You recognize what needs attention and act without waiting for repeated instructions.

  • Exceptionally organized: You manage competing priorities while maintaining accuracy and attention to detail.

  • Discreet and trustworthy: You handle sensitive information with care and exercise sound judgment.

  • A strong communicator: Your writing is clear, your follow-up is consistent, and you can adapt your approach to different people.

  • Calm under pressure: You adjust quickly when priorities change and keep work moving.

  • Comfortable with technology: You’re proficient in Google Workspace or Microsoft Office and quick to learn new tools.

  • Prior experience supporting an executive, founder, or business owner is strongly preferred. This position requires working on-site in Dallas, TX.
