Qualifications

  • Three or more years of progressive administrative experience with at least 1 year directly supporting C-level executives in large global organizations.
  • Proven track record handling highly confidential information in public company environments.
  • Advanced proficiency in Microsoft Office Suite and Teams; ability to leverage tools to improve efficiency and reporting.
  • Exceptional organizational and time management abilities with multi-priority handling.
  • Superior written and oral communication; ability to represent executives professionally.
  • Demonstrated problem-solving mindset to anticipate executive needs.
  • Flexibility to work beyond standard hours when necessary.

Responsibilities

  • Manage complex calendars across leaders, coordinating across time zones.
  • Arrange travel, meetings, and events for board and leadership meetings.
  • Prepare correspondence, presentations, and documents for executive signatures.
  • Serve as gatekeeper for HR leaders and coordinate stakeholder communications.
  • Process expense reports, invoices, and budget allocations with meticulous record-keeping.
  • Handle sensitive information with absolute discretion and professionalism.

Executive Assistant - JLL

Location: Onsite - Chicago, IL headquarters

What this job involves:

We are seeking an exceptional Executive Assistant to support our Human Resource Executive Leaders at JLL's Chicago headquarters. This role demands a high-performing professional who thrives in a fast-paced environment while managing highly confidential strategic matters. Your ability to anticipate needs, exercise sound judgment, and maintain absolute discretion will be essential to success in this role.

What your day-to-day will look like:
  • Managing complex calendars for all leaders, proactivelyidentifyingconflictsand recommending solutions while coordinatingacross global time zones tooptimizetheir schedules.
  • Orchestrating travel arrangements, meetinglogistics, and event planning for board meetings, leadership meetings, ensuring seamless execution of all details from venue selection to presentation materials.
  • Composing correspondence, preparing presentations, and creating polished documents for executive signature, maintaining the highest standards of accuracy and professionalism in all communications.
  • Serving as the primary point of contact and gatekeeper for the HR leaders, screening communications and redirecting inquiries appropriately while providing exceptional stakeholder service across the HR organization and community
  • Processing expense reports, wire transfers, invoices, and budget allocations with meticulous attention to detail while maintaining organized executive files, documentation, and ensuring compliance with record-keeping requirements.
  • Managing sensitive and confidential information with absolute discretion, demonstrating professional tact in all interactions
Required Qualifications:
  • Threeor more years of progressive administrative experience with a minimum of1 year directly supporting C-levelexecutives in large global organizations.
  • Proventrack recordofhandling highly confidential and sensitive information with utmost professional discretion, particularly in public company environments where material non-public information requires careful management.
  • Advancedproficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Microsoft Teams, with demonstrated ability to leverage technology tools to enhance efficiency, create presentations, and manage complex data.
  • Exceptionalorganizational and timemanagement capabilities with proven ability to manage multiple competing priorities.
  • Superiorwritten and oral communication skills with the ability to compose professional correspondence, interact diplomatically with stakeholders at all levels, and represent executives with polish and credibility.
  • Demonstratedproblem-solving abilities with a proactive mindset to anticipate executive needs before they arise,
  • Flexibility to work beyond standard business hours when necessary to support executive schedules.
Preferred Qualifications:
  • Ability to quickly learn new systems, reporting platforms, and business processes when faced with changing regulatory requirements or technology implementations.
  • Strong interpersonal savvy with natural ability to build relationships with board members and other teams across diverse cultures and functional areas within a global matrix organization.
  • Self-starter mentality with track record of independently initiating and completing projects while maintaining alignment with executive priorities, deadlines, and organizational goals.
  • Comfort with ambiguity and change, demonstrating adaptability in shifting priorities.

Estimated compensation for this position:

80,000.00 - 90,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
