Job summary

Hogan Lovells Cadwalader seeks an experienced Executive Assistant in Charlotte to support the Office Managing Partner and a group of attorneys. You will manage calendars, coordinate meetings, handle correspondence, arrange travel, and process expenses with Chrome River.

The role requires 3–5+ years of administrative experience, strong Word/Excel skills, proofreading ability, and excellent English communication. Bachelor’s degree preferred; overtime may be required.

Qualifications

  • Three to five years of administrative experience.
  • Knowledge of Microsoft Word and Excel.
  • Ability to proofread typed material for grammatical, typographical and spelling errors.
  • Necessary interpersonal skills and superior command of English language.
  • Strong organizational skills and ability to work overtime when needed.

Responsibilities

  • Establish and maintain heavy calendar and deadline reminder systems; coordinate internal and external meetings.
  • Read, sort and prioritize incoming email.
  • Make travel arrangements.
  • Prepare and manage expense reimbursements using Chrome River.
  • Input attorney time entries into InTapp, coordinating with Billing.

As a vital member of the team, this role is dedicated to delivering exceptional client service while enabling our attorneys to focus on client work. The Assistant performs a broad range of essential administrative and organizational tasks, consistently producing high-quality work and providing outstanding support to the Office Managing Partner of the Charlotte office as well as a group of attorneys at the Firm. **Responsibilities:*** Establish and maintain heavy calendar and deadline reminder systems; Coordinate internal and external meetings.* Read, sort and prioritize incoming email.* Make travel arrangements.* Prepare and manage expense reimbursements by using Chrome River.* Input attorney time entries into InTapp system; work closely with Billing Department.* Work closely with Business Development team.* Responsible for input of correspondence, memoranda, legal documents and forms utilizing Microsoft Word.* Screen telephone calls, accurately recording and relaying telephone message.* Observe confidentiality of client matters.* Maintain department files.* Operate standard office equipment including copiers and scanners.* Perform other related duties, as assigned.**Knowledge, Skills & Abilities Required:*** Three (3) to five (5)+ years of administrative experience.* Knowledge of Microsoft Word and Excel.* Ability to proofread typed material for grammatical, typographical and spelling errors.* Necessary interpersonal skills and superior command of English language in order to communicate and follow instruction effectively.* Strong organizational skills.* Availability to work overtime when needed.* Bachelor’s degree preferred.This job description sets forth the responsibilities of this position and may be changed from time to time as shall be determined.
