Job summary

ARCO, a Family of Construction Companies, is seeking an Executive Assistant to join our Austin team. The role focuses on calendar management, travel coordination, and creating PowerPoint presentations to support executives from day one.

The ideal candidate is highly organized, detail oriented, has 2+ years of related experience, and excels in a fast-paced environment while maintaining strong communication and client service skills.

Qualifications

  • 2+ years of related experience.
  • Bachelor's Degree required.
  • Excellent computer skills. Proficient in Word and Excel.
  • Bluebeam experience is a plus.
  • Salesforce experience is a plus.
  • Must be extremely organized and detail oriented.
  • Excellent communication and customer service skills.
  • Ability to work in fast-paced environment.
  • Ability to multi-task.

Responsibilities

  • Manage calendars and meetings, including travel coordination.
  • Research and create PowerPoint presentations as needed.
  • Serve as liaison between internal departments, Principals, and executives.
  • Assist with internal business planning and development of departmental plans.
  • Manage records and document control.
  • Coordinate event registration and planning.
  • Oversee client relations (gifts, events, planning).
  • Enter data in Salesforce, build reports, manage systems.
  • Handle expense reporting and reimbursements.
  • Coordinate with property manager on building announcements and office issues.
  • Develop office budget and manage vendor relationships to stay within budget.
  • Ensure stock of office supplies and maintain presentable client-facing spaces.

We are looking for a detail-oriented, self-reliant Executive Assistant to join our team in Austin. At ARCO, you'll have the opportunity to improve project performance and drive your own success, from day one!

A Day In The Life
  • Calendar and meeting management; including scheduling and travel coordination.
  • Conducting research and creating PowerPoint presentations on an as needed basis
  • Manage communication and act as liaison between internal departments, Principals, and other executives
  • Assist with internal business planning and assembly of departmental business plans
  • General records management and document control
  • Event registration and planning
  • Client relations (purchasing gifts, scheduling/planning off-site events, etc.)
  • Salesforce data entry, report building, and system management
  • Expense reporting
  • Manage relationships with the property manager to address any building announcements and/or address any office maintenance issues
  • Develop office budget and manage vendor relationships and negotiations in order to stay within the budget
  • Ensure proper stock of all office supplies and equipment
  • Ensure office common spaces are always presentable, with a focus on client-facing spaces
Necessary Qualifications
  • 2+ years of related experience
  • Bachelor's Degree required
  • Excellent computer skills. Must be proficient in Microsoft Word and Excel
  • Bluebeam experience is a plus
  • Salesforce experience is a plus
  • Must be extremely organized and detail oriented
  • Excellent communication and customer service skills
