Job description

Job Name: Executive or Administrative Assistant

Level: Mid and Senior

Location: Reston, VA, Fort Meade MD, and DC

Remote Work: No

Required Clearance: TS/SCI; CI polygraph preferred

Position Type: Pending funding

RESPONSIBILITIES:

  • Provide administrative support to senior leadership for a full range of administrative operations.
  • Assist in composing non-technical correspondence including endorsements, requests for data, briefings, rosters, or reports.
  • Assist with managing senior leadership calendars and coordinate with external offices for high-level meetings.
  • Screen incoming correspondence and determine appropriate actions.
  • Maintain appointment calendars and facilitate coordination for leadership attendance at meetings and functions.
  • Review outgoing correspondence and reports, ensuring proper format and grammatical correctness, and complete necessary coordination.
  • Assist in creating government travel orders as required.
  • Monitor and track official travel for assigned personnel.
  • Monitor and track assigned taskings, ensuring proper distribution, notification, coordination, and submission.
  • Follow records management instructions to ensure proper maintenance, storage, and destruction of records and correspondence.
  • Assist division and branch leadership with travel procedures, including coordination and creation of travel orders in the Defense Travel System.
  • Assist in filing/saving official records to the central filing system and review documents for destruction or retirement.

MINIMUM REQUIREMENTS:

  • SECURITY CLEARANCE: A current & active Top Secret/SCI clearance; CI polygraph preferred.
  • EDUCATION: Bachelor's degree and 5+ years of experience (additional experience may substitute for a degree).
  • EXPERIENCE: At least 5 years of specialized administrative experience, preferably at an executive or senior level in DoD or the Intelligence Community. Proficiency in preparing and editing correspondence, summaries, guidance, and other documents; time-keeping; scheduling meetings; and arranging travel. Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, Project).
