  • Maintain CRM, contacts, and email correspondence; support community activities and events.
  • Ensure broker education, credentials, and licensing are current.

Job description

Job Title: Executive Administrator

Principal Responsibilities
  • Assist Executive Broker with managing their complex business operations to ensure administrative, financial, and operational activities are performed in a seamless and efficient manner
  • Provide oversight and guidance, organize, and prioritize critical issues
  • Anticipate Executive Broker, client and business needs and undertake necessary actions to produce effective results timely
  • Manage and organize complex calendar activities such as meetings, agendas, luncheon arrangements and travel plans; work around scheduling conflicts and keeping Executive Broker on schedule
  • Assist in planning and coordinating complex travel arrangements
  • Manage email correspondence for Executive Broker promptly. Reply where necessary, print attachments, follow up on actions, flag urgent messages.
  • File in appropriate folders
  • Update and maintain contacts, telephone numbers and email addresses
  • Manage CRM
  • Manage deal booking process
  • Coordinate and track presentations and client deliverables, ensuring timely completion
  • Prepare site search / space survey tour book presentations in PowerPoint and maps, leveraging data from CoStar and from calling/emailing brokers for information
  • Draft proposals and RFPs and assemble proposal matrix / summary packages for client’s review
  • Answer and screen all incoming calls to Executive Brokers office
  • Organize and input broker expenses and charitable contributions, track payments and allowances
  • Support Executive Broker's community and industry activities and events
  • Ensure that education, credentials and licensing of brokers is current
  • Prepare, collect and maintain information for the preparation of confidential reports, proposals, and other materials
  • Provide PTO coverage to colleagues
  • And any other duties as requested
Minimum Qualifications
  • 10+ years of executive administrative experience supporting corporate c-suite professional/s, real estate background preferred
  • Bachelor’s degree required

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications. The company will not pay less than minimum wage for this role. The compensation for the position is: $ 85,000.00 - $100,000.00
