Job summary

Accel Entertainment is seeking an experienced executive assistant to support senior leadership in Burr Ridge, IL. The role involves complex calendar management, gatekeeping, travel logistics, meeting prep, and high‑level coordination with internal teams and external partners.

The successful candidate will have 5+ years of senior‑level administrative experience, strong communication skills, and proficiency with Microsoft Office tools.

Qualifications

  • Bachelor’s degree or equivalent required or preferred.
  • Minimum of 5 years in administrative support, including senior-level executives.
  • Strong calendar, travel, and confidential information management.

Responsibilities

  • Manage and maintain executives’ calendars, scheduling, prioritizing, and coordinating internal and external meetings.
  • Serve as primary gatekeeper and liaison for the executive, routing requests and issues with discretion.
  • Prepare meeting agendas, materials, briefing documents, and follow-up communications.
  • Track action items and decisions from leadership meetings and follow up with owners.
  • Coordinate travel, accommodations, itineraries, expense reports, and related logistics.
  • Organize leadership meetings, off-sites, town halls, board meetings, and company events as assigned.
  • Draft, edit, and format correspondence, reports, and presentations.
  • Maintain confidential files and information per policy.
  • Support budget administration, invoices, and procurement activities.
  • Assist with special projects and cross-functional initiatives as needed.

Job Description

DUTIES AND RESPONSIBILITIES

  • Manage and maintain executives’ calendars, including scheduling, prioritizing, and coordinating internal and external meetings.
  • Serve as a primary gatekeeper and liaison for the executive, ensuring requests, communications, and issues are routed appropriately and handled with discretion.
  • Prepare meeting agendas, presentation materials, briefing documents, and follow-up communications.
  • Track action items and key decisions from executive and leadership meetings; follow up with owners to support timely completion.
  • Coordinate travel, accommodations, itineraries, expense reports, and other logistics.
  • Organize and support leadership meetings, off-sites, town halls, board-related meetings, and company events as assigned.
  • Draft, edit, and format correspondence, reports, presentations, and other business communications.
  • Maintain confidential files, records, and information in accordance with company policies and sound business practices.
  • Anticipate the executive’s needs, identify potential scheduling or communication conflicts, and proactively recommend solutions.
  • Build effective working relationships across the organization and with external partners, customers, and vendors.
  • Assist with special projects, research, and cross‑functional initiatives as needed.
  • Support budget administration, invoice processing, purchase requests, and related administrative activities, as assigned.
  • Perform other duties and responsibilities as assigned.
Qualifications
  • Bachelor’s degree preferred; equivalent combination of education, training, and experience considered.
  • Five or more years of progressively responsible administrative support experience, including direct support of senior-level executives.
  • Demonstrated ability to manage complex calendars, travel, meetings, and confidential information.
  • Exceptional organizational, prioritization, and follow-through skills.
  • Strong written and verbal communication skills, with the ability to communicate professionally with executives, employees, board members, and external stakeholders.
  • Proven ability to exercise independent judgment, discretion, and sound decision-making.
  • High level of proficiency in Microsoft Office, including Outlook, Word, PowerPoint, Excel, and Teams.
  • Ability to work effectively in a fast-paced environment, manage competing priorities, and adapt to changing business needs.
  • Professional presence, strong interpersonal skills, and a service-oriented mindset.
  • Minimum of 3 years of experience in related field.
Base Pay Range

Base Pay Range: 70,000-80,000/yr This range represents the low and high end of the anticipated base salary range for this position. The base salary will depend on a number of factors such as: qualifications, experience level, and skillset.
