Join our Enterprise Support Services (ESS) team, where you will be an integral part of our business enablement functions that keep our organization running smoothly. You’ll use your interpersonal and communication skills (verbal and written) to interface with employees at all levels. As an Executive Administrative Coordinator, you’ll work across teams to provide the knowledge, resources, and tools that help EY teams deliver exceptional service to our clients, succeed in the marketplace, and support the firm’s growth and profitability.

The opportunity

As an Executive Administrative Coordinator, you will provide high-level, specialized administrative, project, and operational support to multiple executives holding leadership positions. You will be closely aligned with the operations, strategies, and business objectives of senior leaders, gaining visibility across their network. You will proactively identify needs and challenges, develop effective solutions, and ensure all preparations and support are in place to enable the executive's success. You will manage confidential projects with judgment and select appropriate methods to meet objectives. As a representative of the executive leaders, you will foster relationships and interact with internal and external clients and stakeholders.

Your Key Responsibilities

  1. Manage daily administrative services for eligible partners, principals, managing directors, and directors.
  2. Apply specialized knowledge of service lines, sectors, and the operational role of the executive to make independent decisions.
  3. Understand key drivers affecting the leader’s role and business priorities to coordinate administrative and project tasks.
  4. Identify and resolve administrative issues, analyze problems, and implement solutions to improve efficiency.
  5. Build and foster relationships with internal and external business leaders and their administrative staff.
  6. Protect confidential and proprietary information and manage data securely.
  7. Demonstrate high-level knowledge of QRM policies.
  8. Compose, format, and edit non-technical business documents in collaboration with executives and communications professionals.
  9. Liaise with service line and core business personnel to track and coordinate executive work/projects, manage information, and respond to requests promptly.
  10. Review market and budget reports to create tracking reports, identify action items, and prepare meeting materials.
  11. Anticipate and understand leaders’ priorities to manage complex and changing calendars.
  12. Coordinate domestic and international travel, events, meetings, and conferences, leveraging appropriate resources.

  • Prioritize and perform multiple tasks simultaneously.
  • Advanced skills in MS Word, Excel, PowerPoint, Teams, SharePoint, and Outlook.
  • Ability to work independently.

Minimum Qualifications

  • BA/BS degree or relevant experience.
  • 8-10+ years of experience, with at least 5-7 years relevant experience.
  • Flexibility for overtime and travel as required.
  • Primarily onsite work in EY offices, client sites, or meeting locations.

Preferred Qualifications

  • 5+ years supporting senior leadership in large organizations or firms.
  • Project coordination experience.
