The Global Regulatory Exam Lifecycle Management (RELM) team in Global Risk and Compliance is responsible for setting standards, tracking, and reporting regulatory activities. RELM supports the lifecycle of regulatory exams and remediation of regulatory findings – responsibilities that are central to the safety and soundness of American Express. We partner closely with all parts of the business – from senior decision makers to their teams – to support local examinations/assessments conducted by local regulators.

The Executive Administrative Assistant is a critical member of RELM who provides organizational support and ensures that the team’s logistical needs are met and helps to promote a positive atmosphere and work culture. If you are a highly pro-active individual with strong organization and interpersonal skills, and who thrives in a dynamic and fast-paced environment, we strongly encourage you to apply for this role. The successful candidate will be responsible for day-to-day administrative support for the VP/Head of Global RELM and three VP direct reports; activities include calendar, travel, and expense management. In addition, the EA will support each of the VP's teams on personnel-related tasks including onboarding and offboarding of colleagues, supply management, and other ad-hoc projects such as colleague engagement.

Key responsibilities include:

  • Coordinating and leading all aspects of internal meetings, including reserving space, audio and visual setup, catering, and production of meeting materials when applicable
  • Planning and hosting of VP site visits/team events, including travel arrangements, conference room reservations, catering/restaurant reservations, and team building activities
  • Supporting the on-boarding and off-boarding of colleagues, including coordinating first/final days, and arranging for workspace, laptops, phones, Corporate Cards, office supplies, and all HR administration
  • Owning the procurement process for laptops, phone, and office supplies
  • Ensuring timely processing and tracking of expense reports and invoices
  • Maintaining headcount reporting, organizational charts, and department distribution lists
  • Handling travel arrangements including air, hotel, transfers, and agendas
  • Supporting department finances and report requests

The successful candidate will have and/or be able to:

  • Desire to understand the goals of the team and the relative importance of various partners and what theydo
  • Strong work ethic, highly self-motivated, and understands the need to be ateammate
  • Demonstrated ability to remain calm under pressure and be flexible when faced with changing/conflictingpriorities
  • Excellent organizational skills with attention to detail and ability to handle confidential information with discretion

Required Qualifications:

Salary Range: $24.05 to $48.10 hourly + bonus + benefits
