The Ohio Industrial Commission is seeking an experienced Commission Level Administrative professional to provide administrative support and research for the Commissioner. The role requires excellent organizational skills, confidentiality, and strong communication with staff and external parties.

Responsibilities include preparing hearing files, agendas, scheduling, maintaining calendars, and coordinating with OIC staff, BWC, and legal departments.

Qualifications

  • Undergraduate core program in business administration, management science or public administration.
  • 12 mos. trg. or 12 mos. exp. in supervisory, administrative &/or managerial position which involved limited research & public contact.
  • 36 mos. trg. or 36 mos. exp. in business administration, management science or public administration.
  • Equivalent of Minimum Class Qualifications For Employment noted above.

  • Directs requests & inquiries from Governor’s office, state legislature, injured workers, employers, attorneys & representatives to the proper sources.
  • Prepares agenda & compiles associated materials for weekly staff meetings.
  • Maintains calendar for Commissioner & Commissioner staff.

Job description

Under supervision, acts on behalf of the Commissioner.

  • Works directly with staff of the Commissioners, Executive Director, Legal Counsel & Director of Adjudication.
  • Works with Section Directors, OIC staff, injured workers, attorneys & representatives at the request of the Commissioner. Directs requests & inquiries from the Governor’s office, state legislature, injured workers, employers, attorneys & representatives to the proper sources. Follows up on such requests.
  • Handles sensitive & confidential matters & maintains a high level of confidentiality.
  • Reviews information & makes decisions at request of Commissioner.
  • Reviews Commissioner orders for accuracy, makes necessary changes, & routes orders to Commissioner for review and signature.
  • Responsible for hearing file preparation by obtaining and assembling pertinent claim information for Commissioner. Assists in hearing room as needed.
  • Uses CASE Manager & CAS to print docket sheets and prepare hearing files.
  • Maintains library of claim issues addressed by the Commissioner. Handles the administrative functions of the Commissioner’s office.
  • Coordinates & assists with work that the Commissioner assigns.
  • Schedules meetings with OIC & BWC staff, attorneys & representatives, & coordinates outside speaking engagements.
  • Prepares agenda & compiles associated materials for weekly staff meetings.
  • Maintains calendar for Commissioner & Commissioner staff.
  • Maintains tickler system for issues to be addressed and meetings to be set. Prepares correspondence for Commissioner's signature.
  • Uses personal computer equipment, types business letters, documents & reports. Maintains extensive filing system.
  • Arranges routine & special appointments & meetings. Makes travel arrangements.
  • Works with OIC staff, BWC Self-Insured & Legal Departments, & Self-Insuring Employers Evaluation Board (SIEEB) members & schedules meetings, conferences, & hearings when the Commissioner acts as Chairperson of SIEEB.
  • Drafts & issues conference & hearing notices & sends participants links for virtual attendance. Compiles docket sheets. Creates sign-in sheets.
  • Contacts parties & staff members regarding attendance at conferences & hearings & composes attendance logs.
  • Prepares complaint packets for the Board Members & staff.
  • Drafts conference scripts.
  • Works with Security to arrange parking for Board members & security personnel during conferences.
  • Attends SIEEB meetings, conferences, & hearings.
  • Obtains the signatures of the Board members on decisions & issues those decisions.
  • Maintains files of all complaints brought before SIEEB.
  • Performs related duties as required.
