Global financial services firm seeks a proactive and detail-oriented Executive Administrative Assistant to provide high-level administrative and operational support to a dynamic team. This role requires exceptional organizational skills, professional judgment, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will anticipate team needs, streamline administrative processes, and ensure seamless daily operations.

Key Responsibilities:

  • Manage complex calendars for multiple team members, coordinating internal and external meetings, client appointments, and conference calls across time zones.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and preparation of detailed itineraries.
  • Prepare meeting agendas, compile materials, coordinate logistics for virtual and in-person meetings, and take/distribute meeting minutes as needed.
  • Draft, edit, and format reports, correspondence, presentations, and other business documents with high attention to detail.
  • Process and track expense reports, reimbursements, and corporate credit card reconciliations in compliance with company policies.
  • Serve as a primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
  • Assist with team operations, including onboarding new hires, managing supplies, coordinating vendor services, and handling ad-hoc projects.
  • Maintain organized electronic and paper filing systems, update databases, and ensure confidentiality of sensitive information.

Qualifications:

  • 5+ years of experience in an executive assistant, administrative assistant, or team support role (preferably within financial services, investment banking, private equity, or a related sector)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams, WebEx)
  • Exceptional organizational skills and keen attention to detail
  • Ability to manage multiple priorities while meeting tight deadlines
  • Excellent written and verbal communication skills
  • Demonstrated ability to handle confidential information with discretion
  • Strong problem-solving and decision-making abilities
  • Bachelor’s degree preferred but not required

  • Experience supporting multiple executives or working in a fast-paced, deadline-driven team environment
  • Familiarity with financial services industry terminology and workflows
  • Proactive, resourceful, and adaptable with a strong sense of ownership and initiative
