About the Role

We are seeking a sharp, proactive, and highly organized Executive Administrative Assistant (EA) to provide seamless support at the leadership level. This is a high-impact role requiring exceptional communication, executive presence, discretion, and sound judgment. You will serve as a trusted partner, gatekeeper, and problem-solver—helping leaders operate at maximum effectiveness and focus on strategic priorities.

Responsibilities

Executive Support

  • Manage complex calendars across multiple time zones, coordinating meetings and engagements with internal and external stakeholders.
  • Prioritize and organize a heavy flow of requests, travel, and events.
  • Prepare and edit correspondence, communications, presentations, and related materials.
  • Handle sensitive information with the utmost integrity and discretion.

Operational Efficiency

  • Track and follow up on key action items, decisions, and deadlines from meetings.
  • Organize and support leadership meetings, ensuring flawless logistics, briefing materials, and document preparation.
  • Create executive summaries, agendas, and pre-meeting documentation.
  • Anticipate needs and proactively remove roadblocks to enhance operational effectiveness.
  • Serve as a primary point of contact between leaders and internal/external stakeholders.
  • Draft and review high-quality communications on behalf of executives.
  • Manage inboxes and assist in prioritization and correspondence.
  • Communicate with clarity and professionalism across all levels of the organization.

Travel Coordination

  • Coordinate and manage domestic and international travel logistics, including itineraries, accommodations, and visa requirements.

Project Coordination

  • Support special projects, research, and strategic initiatives with tight deadlines and high visibility.
  • Collaborate cross-functionally with teams to ensure execution and alignment on organizational priorities.
Qualifications

Required

  • 7+ years of experience supporting C-level or senior executives in a fast-paced, deadline-driven environment.
  • Experience in a professional services, consulting, or large corporate environment with client-facing exposure.
  • Outstanding organizational, time management, and multitasking skills.
  • Ability to quickly learn and apply new technologies, including AI-driven tools.
  • Strong interpersonal skills and high emotional intelligence.
  • Excellent written and verbal communication skills.
  • Comfortable working in dynamic and ambiguous environments with a proactive, solution-oriented mindset.
  • Proficient in Microsoft PowerPoint, Word, Excel, and modern productivity tools.

Preferred

  • Experience preparing leadership or board-level briefing materials and interacting with senior stakeholders.
  • Global exposure with experience managing across multiple time zones and cultures.
  • Familiarity with governance, executive communications, or strategic planning processes.
  • Bachelor's degree or equivalent professional experience.
  • Proficiency with enterprise tools such as Microsoft O365, Concur, Salesforce, or similar systems.

Compensation - The wage range for this role takes into account a wide range of factors used to determine compensation, including skill sets, experience and training, licensure and certifications, and other business needs. A reasonable estimate of the current range is $63,700.00 - $133,400.00 per year.
