Due to the nature of this assignment, this position must remain flexible and willing to work an adjusted schedule to accommodate the needs of special events. This may include being on call as needed. Special events occur on the campus at all hours of the day, 7 days per week. Being able to adapt to the needs of scheduled events is paramount. Many events will bring an opportunity for additional compensation depending on billable circumstances.

Job Summary

The Special Events Specialist assists Public Safety with planning, implementing, and overseeing all needed arrangements for various events, in multiple venues, across campus. The incumbent will interface with all necessary departments across campus, be on site for events, resolve conflicts, and support all events operations. On occasion, the Events Specialist would assist with assigning needed personnel and providing supervisory oversite. This position will assist to direct and oversee operation of the Evolv Weapon Detection system, as required, for events.

This position reports to the Events Supervisor under the Special Functions Lieutenant and will be part of the Special Events Unit for the Department of Public Safety. This position will work to help further the collaboration and partnership between the Department of Public Safety, Auxiliary Services, Stadium, Arena and Campus Event Services and other various departments on campus to enhance event safety.

The CSO is responsible for overseeing the University’s Department of Public Safety, which includes the following operational divisions: University Police, Campus Security, Health Security, Emergency Management, Emergency Communications, and the central administrative Office of the CSO . Responsibilities
  1. Assists with facilitating, forecasting, planning, policies, and procedures in the areas of customer service, staff management and budgetary goals and objectives that are consistent with University of Utah’s policies.
  2. Assists with oversite and operation of the Evolv Weapon Detection system, deployed at all large special events and many other events across campus. Driving the setup, calibration, and operation of the system for events, as well as assisting with scheduling personnel to operate them, and being on site to oversee the operation. At times, the Events Specialist will be tasked with supervising event personnel and employees involved with screening.
  3. Assist to develop, enhance, and execute training for staff on operation of the Evolv system, and how to troubleshoot issues that arise.
  4. Assist the Event Supervisor in supervising some of the activities of security staff, subcontractors and vendors as required to successfully execute all aspects of the event related to the Evolv system, and other event duties as assigned.
  5. Assists in the arrangement of logistics for all events and provides administrative support, including preparation and dissemination of informational materials and communications regarding the event. This may include but not limited to; audiovisual usage, security, supplies, transportation/parking, and guest services.
  6. Coordinates and liaises with various departments on campus to schedule and arrange setup of the Evolv system. Including but not limited to: Stadium, Arena, and Campus Events Services, Auxiliary Services, Utah Athletics, Scheduling Office, Red Butte Gardens, etc.
  7. In tandem with the Events Supervisor, the Events Specialist will arrange for coordination and interaction with DPS Security personnel, and contract security and vendors for staffing personnel for events and event logistics. Strong working relationship with DPS Security staff is vital to the success of this position. This position requires strong organizational skills
  8. Maintains ongoing communication with guests, staff, and vendors.
  9. Provides ongoing administrative support to the Special Events unit.
  10. Assistance with other projects related to Special Events, including analyzing data, processes, and procedures for evaluation and adjustments.
  11. Assisting with identifying best practice safety standards in the industry to implement for events.
  12. Be on site for events that occur on campus to coordinate and help supervise operation of the Evolv system and screening personnel.
  13. Attend multiple event planning meetings and coordinate with Special Events Unit Sergeant and other personnel for logistical needs of any event.
  14. Other duties as assigned by the Events Supervisor, Special Functions Lieutenant, Special Events Sergeant, or the Special Events unit.
Minimum Qualifications

Requires a Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) and 3 years of progressively more responsible events coordination experience. Demonstrated human relations and effective communication skills required. A related field may include but is not limited to: Business, Communications, Hotel / Hospitality Management, Sports Management and Public Relations.

Demonstrated leadership skills in planning and supervising employees and processes.
