The Atlantic Oceanside Hotel and Event Center in Bar Harbor, Maine is seeking an Event Operations Associate for our year-round Events team. This hands-on role focuses on setting up and breaking down spaces for weddings, corporate meetings, and other events across indoor and outdoor areas, following detailed floor plans.

Responsibilities

• Set up and break down event spaces throughout the hotel and outdoor event areas, often transforming spaces multiple times in a single day
• Move, carry, lift, push, and position tables and chairs to create event layouts based on detailed floor plans and timelines
• Set up and break down stages, dance floors, risers, podiums, and other large event structures
• Arrange tables, chairs, linens, staging, décor, and event equipment to create clean, polished, and functional event spaces
• Complete setups in a variety of event rooms and locations, both indoors and outdoors
• Assist with room flips and transitions, quickly converting spaces from one event setup to another
• Safely move and position heavy furniture, staging, dance floors, equipment, and other event materials
• Assist with event-day execution to ensure spaces remain clean, safe, functional, and guest-ready
• Assist vendors, clients, and internal teams with load-in and load-out as directed
• Move event equipment and supplies between storage areas, event rooms, and outdoor locations
• Provide courteous and professional support to guests and event partners
• Assist with basic setup and operation of in-house audio-visual equipment, including microphones, speakers, lighting, and presentation equipment
• Help troubleshoot minor AV issues and elevate concerns to the Event Operations Lead as needed
• Maintain clean, organized storage areas and report missing, damaged, or unsafe equipment
• Follow all safety procedures, keeping walkways clear and ensuring furniture, staging, dance floors, and equipment are positioned securely
• Report facility, maintenance, or safety concerns promptly to the Event Operations Lead
• Collaborate closely with housekeeping, maintenance, and event teams to ensure seamless execution
• Perform other duties as assigned to support successful events

Do you enjoy hands-on work, physical activity, and seeing a space transform from an empty room into a fully set event? The Atlantic Oceanside Hotel and Event Center is seeking a reliable, detail-oriented Event Operations Associate to join our year-round Events team in beautiful Bar Harbor, Maine.

This is a highly hands-on and physically demanding role where you’ll play an essential part in bringing weddings, corporate meetings, celebrations, and other events to life. Working under the direction of the Event Operations Lead, you’ll be responsible for setting up and breaking down event spaces throughout the hotel and on our outdoor grounds. This includes regularly lifting, carrying, pushing, and positioning tables and chairs, setting up stages and dance floors, arranging event equipment, and transforming rooms and outdoor spaces according to detailed floor plans. Skills & Requirements:

• Ability and willingness to perform physically demanding work throughout the shift
• Ability to safely lift, carry, move, push, and pull heavy furniture, staging, dance floors, and event equipment up to 65 lbs
• Comfortable repeatedly moving tables, chairs, staging, and other event equipment throughout the workday
• Strong attention to detail and pride in high-quality execution
• Ability to follow floor plans, diagrams, written instructions, and verbal direction
• Willingness to learn and assist with basic audio-visual equipment
• Strong time management, organization, and reliability
• Ability to work independently while keeping leadership informed of progress and concerns

• Ability to work in a fast-paced, event-driven environment where priorities and setups can change quickly
• Prior experience in hospitality, event operations, housekeeping, maintenance, moving, construction, or other hands-on work preferred but not required
• High school diploma or equivalent work experience preferred

Working Conditions & Physical Demands:

• Physically demanding, hands-on position requiring frequent lifting, carrying, pushing, pulling, bending, reaching, climbing, standing, and walking
• Frequent movement of tables, chairs, stages, dance floors, and other heavy event equipment
• Frequent indoor and outdoor work in varying weather conditions
• Ability to work on your feet for extended periods
• Work takes place throughout the hotel, in various event rooms, and on outdoor event grounds
• Exposure to noise, crowds, and fast-paced environments
• Must be comfortable working around heavy furniture, cords, staging, dance floors, AV equipment, and other event equipment
• Must be able to safely navigate and work in active event setup and breakdown areas
